Job Description

  • A reputable real estate company is seeking an experienced, highly organised, and proactive Admin Manager to oversee the company’s administrative operations across its offices and various project sites.
  • The ideal candidate will be responsible for ensuring the smooth running of office and site administration, supervising support staff, managing facilities and resources, coordinating vendors, and providing effective administrative support to project teams and Management.

Key Responsibilities

  • Oversee the day-to-day administrative operations of the company across all offices and project sites.
  • Manage and coordinate administrative activities at various construction and real estate project sites.
  • Conduct regular visits to project sites to monitor administrative needs, staff attendance, facilities, security, cleanliness, utilities, and general site operations.
  • Work closely with the Head of Projects, Engineers, Site Supervisors, and other relevant personnel to ensure project sites receive required administrative and operational support.
  • Supervise site administrative staff, office assistants, drivers, cleaners, security personnel, and other support staff across assigned locations.
  • Ensure the availability and proper use of office and site supplies, stationery, furniture, equipment, safety items, utilities, and other operational resources.
  • Coordinate the procurement of office and site supplies, equipment, and services in line with approved company procedures and budgets.
  • Obtain quotations from vendors, compare prices, follow up on deliveries, and ensure proper documentation for purchases and payments.
  • Maintain updated records of approved vendors, service providers, office assets, site assets, and administrative expenses.
  • Monitor company assets at offices and project sites, ensuring proper allocation, maintenance, movement, and documentation.
  • Coordinate office and site maintenance, repairs, cleaning, security, power supply, water supply, internet, and other facility-related matters.
  • Ensure timely payment and monitoring of office- and site-related bills, including rent, utilities, security, maintenance, logistics, and other recurring expenses.
  • Support logistics for project site visits, meetings, staff trainings, inspections, material deliveries, and company events.
  • Liaise with vendors, landlords, utility providers, security companies, project teams, and external service providers on administrative matters.
  • Prepare weekly and monthly administrative and site operations reports for Management.
  • Implement and enforce administrative policies, procedures, and internal control measures across offices and sites.
  • Ensure all administrative records, requisitions, invoices, approvals, delivery notes, and supporting documents are properly filed and accessible.
  • Carry out other duties assigned by Management.

Requirements

  • Bachelor’s Degree or HND in Business Administration, Management, Estate Management, Accounting, or a related field.
  • Must have 4–6 years’ relevant administrative experience, preferably in real estate, construction, property development, or a similar industry.
  • At least 2 years’ experience in a supervisory or management role.
  • Experience managing administrative operations across multiple offices and construction/project sites.
  • Strong knowledge of office administration, site administration, procurement processes, facility management, logistics, and vendor management.
  • Excellent organisational, leadership, communication, and problem-solving skills.
  • Ability to manage multiple tasks, work under pressure, travel to sites, and meet deadlines.
  • Strong attention to detail, integrity, and ability to manage confidential information.
  • Proficiency in Microsoft Office Suite, especially Word, Excel, and PowerPoint.
