Scope of Work

  • Consultancy for an Event Planner to organize and coordinate the CRS Nigeria Impact Showcase Event

About the Impact Showcase Event

  • The CRS Nigeria Impact Showcase, themed “CRS at Work: Scaling Impact in Nigeria,” is designed as a strategic platform to demonstrate CRS’ contribution to national development and humanitarian outcomes, while highlighting its ability to scale evidence-based interventions. Through a hybrid format combining high-level dialogue and an interactive exhibition, the event will communicate both measurable results and practical program models from across CRS’s portfolio in Nigeria.
  • The event is intended to bring together government representatives, donors, private sector actors, peer organizations, media, and other strategic stakeholders to deepen understanding of CRS Nigeria’s work and its relevance to national priorities. By combining strategic messaging, programming evidence, and stakeholder engagement, the showcase will strengthen CRS Nigeria’s external visibility and reinforce its position as a credible partner for delivering sustainable, systems-level impact.

Summary of Assignment

  • The event planner is to coordinate and oversee the execution of the event, ensuring all the necessary arrangements for the event are catered for as listed in the specific deliverables.

Deliverables

Event coordination

On-site coordination before, during and after the event to ensure deliverables from needed vendors, the venue and CRS planning team.

Decoration

Prepare the décor for the stage, hall, sitting area, exhibition area and entrance to the venue. The seating arrangement will be in a ballroom style. To provide ambient lighting.

Exhibition

Provide a concept for the exhibition area (including photo storyboards, photobooth and red carpet) and coordinate the design and set-up

Ushering

Provide 8 ushers and 4 bouncers at the event entrance to support the event protocol.

Competencies and Selection

  • Similar experience in organizing events involving various stakeholders.
  • Impressive portfolio of previously managed events (corporate events, conferences, weddings, and birthday parties).
  • Relevant qualification in hospitality, communications, public relations, or a related field.
  • Minimum of 3 years of experience in hospitality, coordinating and managing events, conferences, meetings, or a related field.

Interested and qualified suppliers should send their expression of interest (EOI) along with detailed quotations for the task deliverables in an attached MS Word document or PDF to: tenders.ngr@crs.org using the Job Ref Code as the subject of the application (e.g., RFQNG20055 Corporate Event Planner).

Application Instruction
The EOI should include, but not limited to the following: Personal / company profile, skills, competencies, and suitability for the assignment as well as readiness for immediate short-term contact plus a copy of such previous work done.

  • Submission should be made not later than the deadline above. CRS will not be responsible for the logistics and accommodation for any successful bidder outside the area of assignment.

  • Kindly attach a financial proposal for review and evaluation.
  • Your technical offer should be separated from the financial offer; two different documents should be submitted, one labeled Technical offer and the other financial offer) The technical offer should include things like the methodology, link to similar tasks done, etc.

Payment Schedule

  • CRS will pay the consultant a fixed rate, which will be paid after the successful completion of the assignment. Please note that CRS will deduct and remit to the relevant tax authority a 5% or 10% withholding Tax from the total consultancy fees for individuals or organizations in accordance with the Nigerian Tax Law.

Reporting

  • The consultant will work closely with the CRS Admin Officer and report to CRS Nigeria Marketing and Communications Coordinator.

Only qualified persons will be contacted and invited for screening.
