Job Description
- We are seeking an experienced Maintenance Planning Team Leader to lead the onshore planning function supporting maintenance operations on the Usan FPSO.
- The successful candidate will drive the preparation, scheduling, and stewardship of all maintenance activities in alignment with the Client’s Maintenance Transformation (MT) framework, with a strong focus on reliability, productivity, backlog reduction, and SHE-Critical compliance.
- This role is pivotal in ensuring that the right work is prepared in the right way, at the right time, to keep the asset safe, available, and online.
Key Responsibilities
Planning & Scheduling:
- Lead the planning team in the systematic use of SAP and IPES CMMS for preparation, scheduling, execution tracking, and reporting of all maintenance activities (work orders, notifications, and intervention reports).
- Apply the Client’s work preparation methodology, distinguishing between Worklist items (simple, field-prepared, blanket WO) and Complex Work (planner-prepared, fit-for-risk job packs, scheduled execution).
- Prepare structured job packs for complex interventions, including task breakdowns, manpower allocation, spare parts, tools, isolations, scaffolding, and time estimates.
- Coordinate with Production and Maintenance teams (onshore and offshore) to align scheduling windows, manage break-ins, and minimise deferrals.
Look-Ahead & Forward Planning:
- Drive 1-month, 3-month, and 6-month look-ahead cycles for preventive and corrective work, validating readiness against materials availability, manpower, and operational windows.
- Identify long-lead materials and services early to avoid execution delays.
Backlog & Outstanding Work Management:
- Own the stewardship of the maintenance backlog (Outstanding Work Count), ensuring aging is controlled and reduction targets are met.
- Track and report on backlog age, corrective-to-preventive ratio, and workforce utilisation.
- Prioritise backlog items in line with operational impact, complexity, and risk.
KPI Stewardship & Reliability Focus:
- Steward the planning contribution to the Client’s top MT KPIs: Productivity, Outstanding Work Count, MTTR, MTBI, SHE-Critical PM Compliance, and Production Efficiency.
- Generate weekly and monthly performance reports for project leadership and Client stakeholders.
- Use CMMS data to identify bad actors, repeat failures, and improvement opportunities; partner with reliability and discipline supervisors to close the loop.
CMMS & Master Data Integrity:
- Manage the updating and integrity of maintenance plans, task lists, equipment hierarchy, and Material Master Data within the CMMS.
- Ensure work order coding, completion data, and history capture are accurate to support reliability analysis.
SHE Leadership:
- Ensure 100% adherence to Critical Procedures, Safe Job Plans, and PTW requirements for all high-risk work identified during planning.
- Champion SHE-Critical PM compliance and ensure these tasks are never deferred without proper risk assessment and Client endorsement.
Team Leadership:
- Lead, coach, and develop a team of planners, ensuring competency, workload balance, and succession.
- Interface daily with the Deputy PM, CSR offshore representatives, discipline supervisors, and Client maintenance and operations leads.
- Represent the planning function in daily, weekly, and monthly governance meetings.
Key Performance Targets (KPIs)
The Planning Team Leader will be measured against the following:
- Work Order Completion Rate – % of scheduled WOs completed in the period (target ≥ 90%).
- SHE-Critical PM Compliance – % of SHE-Critical PMs completed by LACD (target ≥ 95%).
- Outstanding Work Count (Backlog) – Reduction trend month-over-month against agreed baseline.
- Backlog Aging – % of backlog items older than 90 / 180 / 365 days, with reduction targets.
- Corrective-to-Preventive Ratio – Trend toward a healthier preventive-dominant mix.
- Schedule Compliance – % of weekly scheduled work executed as planned (target ≥ 80%).
- Planning Accuracy – Variance between planned vs. actual man-hours and materials per job pack.
- Workforce Utilisation – Productive use of contracted manpower aligned with system tracking
- Data Quality – CMMS completion accuracy, history capture, and master data integrity audits.
Requirements & Qualifications
- Education: B.Sc. Degree in Mechanical, Electrical, Electronic, Instrumentation, or Control Engineering.
- Experience: 10+ years in maintenance planning for offshore oil & gas (FPSO experience strongly preferred), including at least 3 years in a team lead or supervisory role.
- Technical Skills: Expert-level proficiency in SAP PM and IPES CMMS is mandatory. Strong command of Excel and reporting tools (Power BI / Tableau a plus).
- Domain Knowledge: Solid understanding of preventive, corrective, and condition-based maintenance strategies; familiarity with PTW, isolation management, RBI, and SHE-Critical safeguards.
- Maintenance Transformation: Awareness of modern maintenance philosophies (worklist vs. complex work, urgency-based prioritisation, reliability-centred KPIs) is highly desirable.
- Communication: Excellent written and spoken English; able to manage complex technical and contractual interfaces between Client, and sub-contractor teams.
- Soft Skills: Strong leadership, organisational, and stakeholder management skills; able to operate calmly under pressure and drive accountability across distributed teams.
