Job Summary

We're looking for someone who thrives in a fast-paced environment and enjoys bringing structure and organisation to business operations. This role is ideal for someone who pays close attention to detail, takes ownership of their work, enjoys solving problems, and takes pride in delivering work to a high standard.

This isn't the kind of administrative role where you'll spend your day filing documents or simply ticking off tasks. You'll play an active role in the day-to-day running of our business operations, helping to ensure customers receive excellent service, supporting different departments to stay organised, making sure important tasks don't fall through the cracks, maintaining accurate operational data, and ensuring the business has the information it needs to make informed decisions.

This is a hands-on role where you'll be trusted to take ownership of your responsibilities, solve problems proactively, and contribute to improving how the business operates. Key Responsibilities

Customer & Business Communication

  • Manage all inboxes and customer chats, ensuring all enquiries and complaints are responded to promptly and professionally.

  • Follow up on outstanding requests until they are fully resolved.

  • Keep management informed of important updates and escalate issues where necessary.

  • Communicate professionally with customers, and internal teams to support the smooth running of business operations.

Administrative Support & Cross-Team Coordination

  • Support the day-to-day administrative and operational functions of the business, ensuring assigned tasks are completed accurately, efficiently, and within agreed timelines.

  • Maintain organised, accurate, and up-to-date records, documents, and operational information to support effective business operations.

  • Work collaboratively with different departments, following up on outstanding actions to ensure tasks are completed and operational activities continue progressing smoothly.

  • Foster effective communication and coordination across teams to support efficient business operations.

  • Provide administrative support to management and assist with additional operational responsibilities as required.

Order Fulfilment & Customer Support

  • Fulfil all website orders accurately and on time.

  • Send tracking information to customers promptly.

  • Monitor orders to ensure they are delivered safely, on time, and in good condition.

  • Respond to customer order-related enquiries professionally and in a timely manner.

  • Help ensure customers receive an excellent experience throughout the order fulfilment process.

Inventory Management & Reconciliation

  • Monitor inventory records across all sales channels.

  • Carry out inventory tracking and investigate any discrepancies.

  • Work closely with the Product Management team to maintain accurate stock records.

  • Highlight inventory inconsistencies or operational issues before they become larger problems.

  • Reconcile all accounts and attribute themto their respective brands.

Reporting, Data Management & Productivity Tools

  • Prepare daily, weekly, and monthly operational reports, and maintain KPI tracking sheets that support business operations.

  • Analyse operational data to identify trends, discrepancies, and opportunities for improvement, ensuring accuracy and data integrity at all times.

  • Present reports and operational insights clearly and accurately to support management decision-making.

  • Use Microsoft Excel and other administrative and productivity tools to organise, analyse, and maintain operational data efficiently.

  • Continuously develop proficiency in administrative systems and identify opportunities to leverage technology to improve operational processes and workflow efficiency.

Procurement Support

  • Purchase office supplies and operational materials when required.

  • Maintain procurement records and supplier information.

  • Support additional procurement activities as required.

Process Improvement

  • Identify practical ways to improve operational processes and day-to-day workflows.

  • Recommend improvements that increase efficiency, accuracy, and productivity.

  • Take ownership of issues and see them through to resolution.

  • Contribute ideas that help strengthen operational efficiency and support continuous improvement across the business.

Requirements

To succeed in this role, you'll need:

  • A Bachelor's Degree in Business Administration, Office Management, Management, Accounting, Economics, or a related discipline.
  • A minimum of 3 years' experience in an administrative, operations, inventory management, finance support, or coordination role.
  • Advanced proficiency in Microsoft Excel, with the ability to organise, analyse, and interpret data, build and maintain reports, manage operational trackers, and identify inconsistencies with a high degree of accuracy.
  • Strong working knowledge of Microsoft Office Suite and the ability to quickly learn and adapt to new administrative systems, business applications, and productivity tools.
  • Excellent analytical, numerical, and problem-solving skills, with the ability to make sound decisions based on data.
  • Exceptional attention to detail and a commitment to producing accurate, high-quality work.
  • Excellent written and verbal communication skills, with the ability to communicate professionally with customers and across all levels of the business.
  • Strong organisational and time management skills, with the ability to manage multiple priorities, meet deadlines, and remain effective in a fast-paced environment.
  • A proactive, accountable, and results-driven team player with the ability to work both collaboratively and independently, take full ownership of responsibilities, exercise sound judgment, and follow tasks through to successful completion with minimal supervision.
  • High standards of professionalism, integrity, discretion, and confidentiality when handling sensitive business information.
