Job Title: Operations Officer

Location: Lagos

Job Summary

  • The Operations Staff will work directly with the CEO to coordinate the day-to-day movement of client shipments, orders, and payments across the Company's procurement, logistics, and customs clearance workflows.
  • The role is scoped to export and import operations; the successful candidate will be trained on-the-job in Nigeria Customs Service procedures, documentation, and clearance workflows and is not expected to have prior expertise on entry.
  • This is a hands-on, execution-focused role suited to someone highly organized, detail-oriented, and comfortable managing multiple live shipments and client accounts simultaneously.

Responsibilities

  • Coordinate end-to-end order fulfillment: supplier sourcing follow-up, vendor payment processing, shipment booking, and delivery tracking.
  • Liaise with freight forwarders, shipping lines, and licensed customs clearing agents to move air and sea cargo through Nigerian ports efficiently.
  • Prepare and verify import/export documentation: Form M, invoices, packing lists, bills of lading, and NCS clearance paperwork.
  • Track live shipments and proactively update clients on status, delays, and delivery timelines via the client portal and direct communication.
  • Coordinate the Company'sPool shipments, consolidating multiple client orders into shared container space and allocating costs accurately.
  • Use the Import Duty Calculator and internal tools to generate accurate landed cost estimates and duty computations for clients.
  • Maintain accurate records of transactions, client accounts, and shipment files for audit and reporting purposes.
  • Respond to client enquiries promptly and professionally across WhatsApp, email, and the Utopie platform.
  • Escalate exceptions (customs disputes, delayed vendor payments, damaged goods, compliance flags) to the CEO with clear recommendations.
  • Provide direct administrative and operational support to the CEO, including scheduling, vendor coordination, and follow-up on outstanding action items.

Requirements

  • Bachelor's degree or equivalent experience in Logistics, Supply Chain, International Trade, Business Administration, or a related field.
  • Prior experience in logistics, freight forwarding, customs brokerage, procurement, or import/export operations is an advantage but not required — full training is provided.
  • Strong aptitude for learning regulatory and documentation-driven processes (Nigeria Customs Service procedures, Form M, HS classification, duty computation).
  • Strong organizational skills with the ability to manage multiple shipments, deadlines, and client accounts concurrently.
  • Comfortable with digital tools — spreadsheets, tracking platforms, WhatsApp Business, and basic CRM/portal systems.
  • Excellent written and verbal communication skills; professional client-facing manner.
  • High integrity and discretion, given handling of vendor payments and client funds.
  • Willingness to work on-site and travel locally (ports, customs offices, vendor/client meetings) as required.

Salary
N120,000 - N160,000 / month.
