Job Title: Executive Assistant

Role Summary
- The Executive Assistant will work directly with the CEO to manage his schedule, communications, and priorities across all four businesses.
- This role is the CEO's single point of coordination — tracking what's happening in each entity, protecting his time, ensuring nothing falls through the cracks, and making sure the right information reaches him at the right time.
- The ideal candidate is highly organized, discreet, and comfortable operating across distinct business contexts (logistics/trade, solar/energy, print/production, and fintech) in the same day.
Key Responsibilities
- Manage the CEO's calendar across all four entities, resolving scheduling conflicts and prioritizing based on business impact.
- Schedule and coordinate internal meetings, client calls, vendor/partner meetings, and site visits (installations, port/customs visits, etc.).
- Prepare the CEO for each meeting with a brief: who's involved, what's at stake, and any decisions needed.
- Triage the CEO's email and messages, flagging urgent items and drafting responses for review or direct send where authorized.
- Serve as a first point of contact for partners, clients, and vendors reaching out to the CEO's office across all four businesses.
- Maintain professional, accurate correspondence on the CEO's behalf, matching the tone and context of each entity.
- Maintain a consolidated view (dashboard, tracker, or weekly briefing) of priorities and pending decisions across the portfolio.
- Liaise with operations staff and team leads in each business to gather updates ahead of CEO check-ins.
- Prepare, format, and proofread documents, presentations, and reports the CEO needs across the four businesses.
- Organize and maintain filing systems (digital and physical) for contracts, licences, and key business records.
- Handle confidential information — financial data, client details, and business strategy — with strict discretion.
- Arrange domestic and international travel, including flights, accommodation, visas, and itineraries.
- Coordinate logistics for site visits, meetings, and events across Lagos and other locations as needed.
- Provide general executive support to help the CEO operate efficiently across a demanding, multi-entity schedule.
- Anticipate needs and handle ad hoc requests promptly and reliably.
Requirements
- Bachelor's Degree or equivalent experience; prior experience as an Executive Assistant, Personal Assistant, or in a similar high-trust support role is strongly preferred.
- Proven ability to manage competing priorities across multiple projects or business lines simultaneously.
- Excellent written and verbal communication skills, with the judgment to adapt tone across different business contexts.
- Highly organized, with strong attention to detail and follow-through on outstanding items.
- Proficient with digital productivity tools — calendar management, email, spreadsheets, and document preparation (Word, Excel, PowerPoint or equivalents).
- Absolute discretion and trustworthiness in handling confidential and sensitive business information.
- Calm, resourceful, and able to work independently with minimal supervision under time pressure.
- Willingness to be reachable outside standard hours when business needs require it.
Salary
N120,000 - N160,000 monthly.
