Job Title: Administrative Assistant

Location: Lagos

Description

  • They are looking for a highly organised, proactive and detail-oriented Administrative Assistant to provide administrative and operational support across the business.
  • Reporting to the Head of Operations & Event Production, this role supports multiple business functions and works closely with Management and the operational team to ensure smooth day-to-day running, efficient coordination, accurate documentation and excellent client service.
  • This is a hybrid role. Most administrative work is coordinated remotely, with on-site presence required for inventory checks, audiovisual equipment dispatch and return, and project execution periods. The role therefore calls for accountability, strong self-management and structured weekly reporting.
  • This is a lean, high-performing team where every member contributes visibly to the success of the business. The role is ideal for someone who enjoys creating structure, solving problems, learning new technologies and making sure nothing falls through the cracks.

Responsibilties
Administrative & Office Support:

  • Provide day-to-day administrative support to the Head of Operations and the wider team.
  • Schedule and coordinate company meetings, appointments and team calendars, issuing invitations and confirming attendance.
  • Prepare agendas ahead of meetings, take accurate minutes and circulate them promptly.
  • Track action points arising from meetings and follow up with owners until each item is closed.
  • Coordinate office supplies, maintenance and deliveries — largely remotely — liaising with vendors and confirming fulfilment.
  • Maintain organised digital and physical filing systems so documents can be retrieved quickly by anyone who needs them.

Documentation & Coordination:

  • Draft, format and proofread letters, reports, presentations and client-facing documents to a professional standard.
  • Maintain project files and ensure documentation is complete, current and correctly filed at each stage of delivery.
  • Maintain accurate company records, including correspondence logs and approved document templates.
  • Support clear communication across teams by circulating updates, schedules and confirmations.
  • Submit a weekly report to the Head of Operations covering completed tasks, outstanding items and anything requiring escalation.

Operational & Client Support:

  • Support projects before, during and after execution, including scheduling, documentation and post-project close-out.
  • Maintain operational records, inventory documentation and audiovisual asset tracking, including on-site checks when equipment is dispatched and returned.
  • Provide on-site administrative support during project execution periods.
  • Respond professionally and promptly to client, vendor and general enquiries.
  • Coordinate meetings and site visits with clients and vendors.
  • Share client feedback and operational insights with Management.

Requirements

  • Minimum of a National Diploma (ND), HND or Bachelor's Degree from a recognised institution.
  • Minimum of one (1) year’s experience in an administrative, customer service, office support or business support role; one to three (1–3) years preferred.
  • Relevant internship or NYSC experience will also be considered.
  • Experience in events, hospitality, media or professional services is an advantage.
  • Resident in Lagos.
  • Reliable internet access and a power backup arrangement sufficient to work effectively on remote days.
  • Available for extended hours and occasional weekend work during project execution periods and the Q4 peak season.
  • Relevant certifications are an advantage but not mandatory.

Skills & Competencies:

  • Professional written English — able to draft and proofread documents that require minimal correction.
  • Accurate minute-taking and reliable follow-through on action points.
  • Google Workspace and Microsoft Office Suite.
  • Project management tools (ClickUp, Trello, Asana, Monday.com or similar).
  • AI productivity tools (ChatGPT, Gemini, Copilot or similar).
  • Strong organisation and attention to detail.
  • Confidentiality and discretion in handling company, client, vendor and staff information.
  • Ability to work independently between on-site days and report progress without prompting.
  • High integrity and a genuine willingness to learn.
