Job Summary

  • We are seeking a proactive, commercially minded, and highly organized Business Manager to oversee the day-to-day operationsand ensure a seamless experience for guests.
  • The Business Manager will be responsible for managing bookings, driving occupancy and revenue, coordinating housekeeping and maintenance, managing guest relationships, supervising service providers, and ensuring that the apartment is consistently maintained to a high standard.
  • The ideal candidate must have strong hospitality and customer service skills, excellent attention to detail, and the ability to manage the property independently while delivering measurable business results.

Key Responsibilities
Property and Daily Operations:

  • Oversee the daily operations of the short-let apartment to ensure smooth and efficient running of the property.
  • Ensure the apartment is clean, well-maintained, fully furnished, and guest-ready at all times.
  • Conduct regular inspections of the apartment, furniture, appliances, utilities, and other property assets.
  • Coordinate housekeeping, laundry, repairs, maintenance, and other property-related services.
  • Ensure prompt resolution of maintenance issues and guest requests.
  • Maintain adequate supplies of toiletries, cleaning materials, linens, and other guest amenities.
  • Develop and implement operational procedures to improve efficiency and service delivery.

Booking and Reservation Management:

  • Manage bookings and reservations across short-let platforms and direct booking channels.
  • Maintain an accurate booking calendar and ensure there are no scheduling conflicts.
  • Coordinate guest check-in and check-out processes.
  • Confirm reservations and provide guests with relevant information before arrival.
  • Ensure that rooms or apartments are prepared and ready before guest arrival.
  • Manage cancellations, rescheduling, refunds, and other booking-related issues in line with company policies.

Revenue and Business Growth:

  • Develop and implement strategies to increase occupancy, revenue, and profitability.
  • Monitor market rates and competitor pricing and make recommendations on pricing adjustments.
  • Develop promotional offers and packages to attract new guests and encourage repeat bookings.
  • Identify and pursue opportunities for corporate bookings and partnerships.
  • Build relationships with travel agents, corporate organizations, relocation companies, and other potential business partners.
  • Monitor occupancy rates, average daily rates, revenue, and other key business metrics.
  • Provide recommendations to management on strategies to improve revenue performance.

Guest Experience and Customer Service:

  • Serve as the primary point of contact for guests throughout their stay.
  • Ensure guests receive a warm, professional, and seamless experience.
  • Respond promptly to guest enquiries, requests, and complaints.
  • Resolve guest issues professionally and escalate serious matters to management when necessary.
  • Monitor guest reviews and feedback across booking platforms.
  • Implement improvements based on guest feedback to enhance customer satisfaction.
  • Encourage positive guest reviews and repeat bookings.

Marketing and Online Presence:

  • Manage and optimize listings on platforms such as Airbnb, Booking.com, and other relevant short-let platforms.
  • Ensure property listings, photographs, descriptions, pricing, and availability are accurate and up to date.
  • Coordinate with photographers, graphic designers, or marketing personnel where necessary to improve the property's online presentation.
  • Support social media marketing activities to increase property visibility and bookings.
  • Monitor online reviews, ratings, and guest feedback and respond appropriately.

Staff and Vendor Management:

  • Supervise housekeeping staff, cleaners, security personnel, maintenance workers, and other service providers.
  • Prepare work schedules and ensure adequate coverage for property operations.
  • Monitor the quality of services provided by vendors and contractors.
  • Negotiate service costs and ensure value for money.
  • Ensure all service providers adhere to agreed service standards.

Financial and Administrative Management:

  • Monitor daily revenue, expenses, and operational costs.
  • Maintain accurate records of bookings, payments, expenses, and property-related transactions.
  • Prepare periodic financial and operational reports for management.
  • Monitor and control operating expenses to improve profitability.
  • Ensure all payments and expenses are properly documented and authorized.
  • Maintain an inventory of property assets and consumables.
  • Report losses, damages, or missing items promptly.

Safety, Security, and Compliance:

  • Ensure the property complies with applicable safety, security, and hospitality standards.
  • Ensure fire safety equipment and other safety facilities are functional and regularly inspected.
  • Maintain appropriate emergency procedures for guests and staff.
  • Monitor security arrangements and promptly report security concerns.
  • Ensure guest information and personal data are handled confidentially.

Key Performance Indicators (KPIs)
Performance will be measured based on:

  • Occupancy rate
  • Monthly and annual revenue growth
  • Average daily rate (ADR)
  • Revenue per available room (RevPAR), where applicable
  • Guest satisfaction and online ratings

Requirements and Qualifications

  • Bachelor's Degree in Hospitality Management, Business Administration, Tourism, Marketing, or a related field.
  • 2–5 years of experience in short-let management, hotel operations, hospitality, property management, or a similar role.
  • Proven experience managing a short-let apartment, hotel, serviced apartment, or similar hospitality business.
  • Hands-on experience with Airbnb, Booking.com, or other online booking platforms.
  • Strong understanding of occupancy management, pricing, reservations, and revenue optimization.
  • Excellent customer service and relationship management skills.
  • Strong leadership and team management abilities.
  • Excellent communication, negotiation, and problem-solving skills.
  • Strong financial and administrative management skills.
  • Proficiency in Microsoft Office and relevant property or booking management software.
  • Ability to work flexible hours, including weekends and public holidays when required.
  • Must be proactive, reliable, highly organized, and able to work independently.
