Job Summary
- The Procurement Officer is responsible for sourcing, purchasing, and managing the supply of goods and services required by the organization.
- The role ensures cost-effective procurement, timely delivery, quality assurance, and compliance with company policies while maintaining strong relationships with suppliers.
Key Responsibilities
- Source and evaluate suppliers based on quality, cost, reliability, and delivery timelines.
- Obtain quotations, negotiate prices, payment terms, and contracts with vendors.
- Raise and process purchase requisitions and purchase orders.
- Ensure timely procurement and delivery of materials, equipment, and services.
- Maintain accurate procurement records, purchase orders, invoices, and supplier documentation.
- Monitor inventory levels and coordinate with relevant departments to prevent stock shortages.
- Conduct market research to identify new suppliers and cost-saving opportunities.
- Evaluate supplier performance and maintain an approved vendor database.
- Ensure all procurement activities comply with company policies and applicable regulations.
- Work closely with finance to reconcile invoices and ensure timely vendor payments.
- Resolve procurement-related issues, including delivery delays, quality concerns, and supplier disputes.
- Prepare weekly and monthly procurement reports for management.
- Monitor procurement budgets and recommend cost optimization strategies.
- Coordinate logistics and ensure goods are received, inspected, and documented properly.
- Maintain confidentiality and integrity in all procurement transactions.
Requirements
- Bachelor's Degree in Purchasing & Supply, Business Administration, Supply Chain Management, Logistics, Economics, or a related field.
- 2–4 years of procurement or purchasing experience.
- Professional certification (CIPS, CIPSMN, or equivalent) is an added advantage.
- Strong negotiation and vendor management skills.
- Excellent analytical and problem-solving abilities.
- Proficiency in Microsoft Office Suite, especially Excel.
- Experience using ERP or procurement software is an advantage.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- High level of integrity, attention to detail, and accountability.
