Job Summary

  • The Procurement Officer is responsible for sourcing, purchasing, and managing the supply of goods and services required by the organization.
  • The role ensures cost-effective procurement, timely delivery, quality assurance, and compliance with company policies while maintaining strong relationships with suppliers.

Key Responsibilities

  • Source and evaluate suppliers based on quality, cost, reliability, and delivery timelines.
  • Obtain quotations, negotiate prices, payment terms, and contracts with vendors.
  • Raise and process purchase requisitions and purchase orders.
  • Ensure timely procurement and delivery of materials, equipment, and services.
  • Maintain accurate procurement records, purchase orders, invoices, and supplier documentation.
  • Monitor inventory levels and coordinate with relevant departments to prevent stock shortages.
  • Conduct market research to identify new suppliers and cost-saving opportunities.
  • Evaluate supplier performance and maintain an approved vendor database.
  • Ensure all procurement activities comply with company policies and applicable regulations.
  • Work closely with finance to reconcile invoices and ensure timely vendor payments.
  • Resolve procurement-related issues, including delivery delays, quality concerns, and supplier disputes.
  • Prepare weekly and monthly procurement reports for management.
  • Monitor procurement budgets and recommend cost optimization strategies.
  • Coordinate logistics and ensure goods are received, inspected, and documented properly.
  • Maintain confidentiality and integrity in all procurement transactions.

Requirements

  • Bachelor's Degree in Purchasing & Supply, Business Administration, Supply Chain Management, Logistics, Economics, or a related field.
  • 2–4 years of procurement or purchasing experience.
  • Professional certification (CIPS, CIPSMN, or equivalent) is an added advantage.
  • Strong negotiation and vendor management skills.
  • Excellent analytical and problem-solving abilities.
  • Proficiency in Microsoft Office Suite, especially Excel.
  • Experience using ERP or procurement software is an advantage.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • High level of integrity, attention to detail, and accountability.
