Position Description
Job Purpose

Responsible for supervising the arrangement, description, preserving and providing access to old records with long-term, historical value. Recommends and implements records reformatting, indexing, and delivery solutions for permanent and inactive records. Maintains record keeping systems, including database catalog.

KRAs
Maintain Stanbic IBTC archive with respect to the bank’s rules and regulations
Coordinate and oversees records management process.
Designs information delivery systems, in conjunction with Department Heads and MIS.
Writes retention schedules, researching retention periods as necessary
Designs and presents training material for Department Heads and staff
Preserves records by identifying endangered materials and level of conservation work needed; provides basic repair and preventive preservation for paper records.
Researches, plans, develops and implements long and short-range goals for the archives and records center
Take inventory of active and inactive record storage areas and coordinates scheduling of records disposal.; Recommends active and inactive records storage periods.
Facilitating training sessions on archival procedures;
Ensure that there are duplicate key(s) to record storage in the spare key cabinet and a record to that effect has been updated.
Maintains a file of: Record inventories, records retrieval approvals as well as bar sheets (as evidence of record inventory, delivery or retrieval).
Conduct a staggered annual physical verification of record.
Perform additional tasks as required by the business.

Required Competencies
Minimum of a B.SC degree in sciences and social sciences is required.
Knowledge of records management and computer technology would be added advantage.
Minimum of 3 years in Logistics sub-process and records management

Ability to quickly and effectively build relationships at all levels with demonstrated ability to work well with others
Proficiency with computers including MS Office.
Ability to plan, organize and manage; ability to develop budgets; ability to train other staff members; ability to conduct and maintain good public relations; detail-oriented; ability to recall/access rules, regulations and laws relating to archives/records center and public record; good organizational, communication and customer service skills
Good knowledge of banking confidentiality rules and regulations.
Consistently approaches work with energy and a positive constructive attitude.
Strong sense of responsibility
