The International Vocational, Technical and Entrepreneurship College (IVTEC) is a charitable non-governmental educational institution with a vision to promote inclusive human capital development within the context of evolving national (Nigerian) needs and global competitiveness.

Consequently, the IVTEC is seeking individuals with uncommon dedication who are high-achieving, highly dynamic and innovative with proven target driven orientation to fill the below position:

Job Title: Administrative Assistant

Location
: Ajase-Ipo, Kwara
Reporting to: The Registrar

Summary
IVTEC is a pioneering technical and vocational education model initiated by the Kwara State Government (KWSG). KWSG provided the initial funding and partnered with a world-renowned City & Guilds International for the design and construction of campus facilities, which were completed in 2015. As an NGO, the organizational and financial structure of IVTEC allows for an array of partnerships and collaborations with individuals, business and industry from within and outside Nigeria to ensure its future financial sustainability.

IVTEC is scheduled to commence operations in the last quarter of 2017 with the first set of instructional programs in Automotive, Building/Construction, Welding, Electrical, and HVAC trades.

About the Role

  • The Administrative Assistant will be responsible for overall secretarial, clerical and administrative support in order to ensure services tire provided in an effective and efficient manner of the office.
Key Performance Areas:
  • Provide office support services in order to ensure efficiency and effectiveness within the office.
  • Provide administrative support to the college.
  • Assist in the planning and preparation of meetings, conferences and conference telephone calls
  • Adapt and update administrative, processes, supporting the implementation of operating procedure, in order to contribute to the continuous Improvement in administration services in area of responsibility.
  • Support the production of various data and compile and prepare reports, in order to contribute to provision of accurate information for informative decision making.
  • Provide guidance and training to staff in interpretation of administrative procedure, policies, processes and use of corporate systems to ensure consistency and efficiency of services.
  • Recommend management action to improve standard operating procedure.
  • Other duties as assigned.
Requirements, Education & Certification
  • B.Sc in Business Admin., Finance or related field.
  • Years in Career: minimum of 3 years.
Required Skills & Experience:
  • Ability to establish courses of action for self and others to ensure that work is completed efficiently.
  • Ability to convey Information and Ideas to individuals or groups in a manner that helps them understand and retain the message.
  • Ability to maintain stable performance under pressure or opposition; holding stress in a manner that is acceptable to others and to the organization,
  • Flexible interpersonal skills and able to form relations of the clients.

  • Ability to supervise and to take control.
  • Problem solving and analysis
  • Ability to manage self, and resources including time and surrounding circumstances to reach a specific goal.
  • Ability to communicate information and ideas in writing so others will understand, to create a clear message, record documents, provide information to persuade, request information from others and Justify a request.
  • Ability to operate computerized accounting, spreadsheets and word processing programs at a highly proficient level
  • Ability to work with budgets and expense reports
