Descriptions
Act on behalf of the IM Lead / Delivery Team Lead for the given Projects / Assets.
Develop and implement a set of key procedures and specifications governing the document control process, including document control procedure, document numbering specification, correspondence procedure, archiving specification, translate procedure and other documentation together defining the Document Control framework on the given Projects / Assets.
Prepare specifications for documents (requirement, control, delivery) for (a) Internal and external design and vendor documents, and (b) Projects / Assets correspondence.
Comply with the Company Records Management for Controlled and Non-Controlled documents.
Execute Projects / Assets archiving and handover to next project phase / Operations.
Manage all paper and electronic document flow within project, and from / to contractors or vendors. Create and maintain document distribution matrix.
Establish and coordinate the use of document “team working areas” for uncontrolled documents and informal sharing.
Establish and maintain the Document Control System and Electronic Document Management System (EDMS).
Drive improvements within the Document Control scope through leadership, standards, and behaviours.
Implement solutions that educate and encourage internal and external stakeholders to become more collaborative and contribute to the project value.
Prepare and issue document reports (Monthly Contractor Master Document Register status / progress / forecast, Weekly Company Document review statistics).
Liaise with Projects / Assets teams to establish and oversee Projects/Assets Document Control reports (status, progress and forecast) to be run on a weekly / monthly basis (as required) as part of standard Projects / Assets KPI functions.
Liaise with relevant support groups to deliver and configure data management tools (e.g. EDW) to support management of data through the Projects / Assets lifecycle –
Ensure successful and regular data validation / business assurance and handover to Operations.
Maintain the project reference data libraries for each data-oriented application – ensuring maximum alignment to the Global RDL (Reference Data Library).
Qualifications
B.Sc. / HND. (or equivalent) in any Engineering or Technical discipline.
A minimum of 6 – 10 years IM experience in Projects / Assets engineering / construction of oil / gas facilities.
Must have previous experience as a Data and / or Document Controller – in such environments / teams as Asset O&M, OR&A with focus on CMMS build and managing as-built documents, Assai, SharePoint, Engineering Data Warehouse systems, etc.
Good knowledge of document control processes and systems on Projects / Assets and of the interface management in the major execution contracts (e.g. FEED, EPC, EPCM)
Conversant with cross-discipline engineering documents (requirements and use) and discipline approval processes within project teams.
Good knowledge of Records Management principles and implementation methods and document control and document management systems as well as in using (at least some of) reporting software such as Crystal, Business Objects, MS Access, and Excel is essential.
Demonstrable Leadership and Interpersonal Skills with experience in managing small teams of subordinate personnel.
A high degree of skill in written and oral communications.
