Job Description
Provide support to the executive office in a proactive and timely manner, Managing the executive’s schedule, handling correspondence, preparing analyses, and ensuring implementation of objectives promptly.
Oversee all human resource management activities in line with organizational needs.
Creating a happy and healthy work environment for the company’s employees and new recruits, ensuring a better work environment, therefore, improving the quality of work within the company.
Acquiring new talent, providing orientation, and ensuring employees’ concerns are addressed.
Responsibilities
Assist an executive by being the point of contact for all communication i.e., the phone, email, fax etc. Duties also include interfacing with clients
Manage the executive’s schedule by arranging appointments, Protocol matters, travel itineraries etc.
Produce reports for the executive, based on historical references or research, as requested
Keep information confidential and secure using backups and appropriate security software
Manage office supply inventory and maintain stock levels to ensure smooth functioning
Maintain and improve the office filing system, for ease of retrieval of documents.
Take dictation and capture minutes during meetings.
Coordinating secretarial and admin activities in the absence of the CEO.
Carrying out ad-hoc projects and research and managing accounts and budgets on a case-by-case basis.
Represent the executive in their absence by attending meetings and taking notes
Maintain professional knowledge levels by attending workshops and following publications
Act as a point of contact for employees and provide support for various subjects such as leaves, compensations, and resolving problems.
Coordinate administration of compensation, benefit plans, and leave.
Oversee talent acquisition and recruitment processes.
Conduct training and onboarding for new employees.
Promote HR programs to ensure a happy and healthy work environment.
Develop interesting HR programs and keep employees engaged.
Develop and implement new human resource policies.
Collect and assess HR data for performance management and other tasks using metrics.
Maintain a database of all the employee’s information and ensure they are up to date and secure.
Qualifications / Experience
Bachelor's Degree in Business Administration or related fields.
MBA or a Master's in Business operations will be added advantage
Certification in Secretariate Admin will be an added advantage.
3 - 5 years of experience working as an Executive Assistant or in a similar position
Strong organizational skills with eye for detail.
Tech-savvy and acquainted with office management procedures
Training in Human Resources, its procedures, and policies, is an added bonus.
Prior experience as an HR Generalist or in a related position.
Basic computer knowledge and use of MS Office and HRM software.
Appreciable knowledge of laws and regulations of the workplace, employment, and labor.
Strong communication, people, and management skills.
Analytical mind with a problem-solving attitude.
Excellent verbal and written communication skills.
