Job Description
The Finance and Admin Manager will work in close collaboration with the President to provide back-end support for operations during this start-up period.
You will be responsible for ensuring the effective delivery of finance, general administration, human resources, procurement, logistical and common services support to the Organization.
Responsibilities
Administration:
Provide administrative support to management and ensure staff are duly supervised
Maintain employee records and all personnel files
Ensure adequate and professional dissemination of information between management and employees
Develop documents, spreadsheets and presentations as assigned by management
Develop and professionally manage the filing system of the organization (store, organize and manage organization’s files)
Ensure the smooth day to day running of the organization
Manage the outgoing and incoming correspondence register
Type, edit and proof read documents as assigned
Perform other duties as may be assigned
HR:
Ensure the development and deployment of appropriate people management structures, policies and processes that will enhance the organization’s ability to attract, develop and retain the quality of employees required to attain optimal performance
Conduct induction programmes for new employees in the organization
Ensure employee job descriptions are constantly updated to meet the changing needs of the organization
Ensure employee appraisals are conducted as at when due and recommendations executed
Identify and address employee concerns and issues related to the wellbeing and productivity of employees
Intervene and resolve disciplinary cases, appeals and related HR service delivery issues
Effectively manage the relationship between management and employees
Research and recommend appropriate solutions to employee problems and support employees and their line managers in performance, absenteeism and disciplinary matters.
Identify the hiring need, develop job description, the recruitment plan and other recruitment related documents
Place job advertisements on accredited job boards, schedule and conduct interviews
Manage the recruitment process of the organisation, conduct assessments, interview candidates for available positions, recommend qualified and skillful applicants to the respective departmental heads.
Manage the daily activity of the Kitchen department.
Develop and manage the reward and sanction system as well as ensure its implementation
Design and conduct employee recognition activities such as awards etc.
Review employee handbook periodically in line with industry good practices to heighten the efficiency of the organizational operations.
Develop, execute as well as recommend to management, employee training and development programmes
Monitor sickness and absenteeism and conduct back to work interviews
Respond to written, email and telephone enquiries covering a range of subjects including staff benefits, contracts, etc.
Issue employment offer, confirmation and termination letters as well as liaise with the legal department for all contract changes
Ensure exit interviews are conducted where appropriate.
Perform other duties as may be required
Finance:
Management of the organization’s finance operations
Manage day-to-day bookkeeping of financial transactions – input all income and expenditure; and produce monthly quarterly and annual financial reports
Process payments and donations
Record and reconcile accounts payable and receivable
Verify records, complete monthly bank reconciliation and annual accounts
Procurement of goods and services
Management and monitoring of organizations assets
Timely creation of budgets
Ensure accurate payroll computation
Comply with financial policies and regulations
Salary
N120,000 - N130,000 monthly.
