Job Title: Compliance Assistant
Location: Maiduguri, Borno

General Description of the Position
Reporting to the Compliance Officer, under the overall management and technical guidance of the Code of Conduct Supervisor, the Compliance Assistant works in collaboration with all departments to ensure that procedures are respected and in compliance with Tdh’s rules and policies.
The Compliance Assistant will support and monitor the performance of all financial and operational functions within the delegation.
S/He will contribute on the implementation and the follow-up of a strong internal control system.
Main Responsibilities
Archiving:
The Compliance Assistant will perform consolidation of numeric documents that could be required in case of audit/controls.
Ensure that donor’s Audit’s requirements are properly archived in each department.
Ensure that contracts and administrative documents are properly archived and provide regular follow-up to her/his line manager.
Ensure that data on statutory deductions are archived on the Tdh online storage
Audit:
The Compliance Assistant will:
Perform daily data entry on the database template for (logbooks, gen book, attendance sheet)
Support the compliance department in carrying out spot checks in Field Locations
Liaise with the HR and Finance departments in provision of all external and internal documents
Support in the review of documentations for payments slips, timesheets, mission leave etc
Any other responsibilities assigned by line Manager.
Internal Control:
The Compliance Assistant will participate on the analysis of the risk assessment of the delegation on monthly basis.
Assist in the conducting of Spot checks in all departments
Assist in the monthly review of payment files
Support in ensuring proper follow-up on audit and compliance findings
Ensuring Compliance of the daily Attendance sheet files from programmes in comparison with the monthly payment files.
Compliance & Transparency:
The Compliance Assistant will support the Compliance Officer on the respect of Tdh Risk Management Policies including: Tdh Code of Conduct, Child Safeguarding Policy, Safety and Security Policy and Anti-Fraud/Corruption Policy, Whistle Blowing Policy
S/he will participate on the trainings and communication to the operational and support teams regarding compliance aspects.
Others:
Commit to respect Tdh Risk Management Policies including Tdh Code of Conduct, Child Safeguarding Policy, Safety, and Security Policy and Anti-Fraud/Corruption Policy, Whistle Blowing Policy
Ensure adherence to Tdh standards and quality requirements in all the project activities.
Promote, and ensure project activities are in line with child protection principles and humanitarian principles
Ensure the project activities are well-integrated into the North-eastern Nigeria child protection system and humanitarian coordination practices and guidelines
Ensure Tdh Child Safeguarding Policy and Child Protection Minimum Standards are mainstreamed through all the programmatic activities
Commit to ensuring the best implementation possible of the Tdh Risk Management Policies
Commit to inform supervisors and to deal with any cases, allegations, or the possibility of transgression, even potential, of the Tdh Risk Management Policies.
Security:
Comply with Tdh Security Regulations
Requirements
Qualification:
Bachelor’s Degree in Social sciences, Administration, or related field is required.
Work experience:
Minimum of three years of experience conducting advocacy related to child protection and education
Knowledge & skills:
Previous experience with an INGO is mandatory.
Previous experience in advocacy is appreciated.
Experience in protection, notably child protection is required.
Computer skills:
Excellent IT skills.
Language Skills:
Excellent written and spoken English and any local language in the area of implementation.
Competencies:
Ability to use multi-task and work well under pressure to meet deadlines.
Full professional competence in Microsoft Office Suite, especially Excel, Word, Outlook.
Have a high sense of integrity and transparency.
Capacities in communication and training skills
Ability to manage official information in a confidential manner.
Preferred experience:
Demonstrated experience in compliance/ internal control tasks and responsibilities.
Experience in accountability and reporting
Knowledge in Protection against Sexual and Emotional Abuse (PSEA).
Other:
Knowledge of the Northeast Nigerian context would be an advantage.
