We are recruiting to fill the position below:

Job Title: Secretary

Location: Along Lagos - Ibadan Expressway
Slots: 2 Openings

Job Summary

  • Maintain a close and highly responsive relationship to the day-to-day activities of the supervisor and staff, work independently receiving a minimum of detailed supervision and guidance, and performs various clerical and secretarial duties requiring knowledge of office routine and an understanding of the organization, programs, and procedures related to the work of the office.

Key Responsibilities and Task

  • Incoming and outgoing mail.
  • Interactions with external customers.
  • Departmental communication.
  • Filing, maintenance of files, and tracking of all-important documentation to the department/team.
  • Always maintain confidentiality.
  • Handle all interactions in a professional manner.
  • Always maintain confidentiality.
  • May maintain calendars and schedule meetings.
  • Be aware of department/team members’ schedules.
  • Manage time to ensure tasks are completed on time
  • Serve as a team member for the recognition team.
  • Purchase items for the recognition team, tracking tickets, replenishing leader cards, entering Feedback into Workday, etc.
  • Attend Safety, Quality and plant-wide required meetings and trainings.
  • Organize meeting space, snacks, lunch, presentations, postings, etc., as needed for leadership events such as CEO visits, special OPS meetings, Director visits, recognition cookouts, holiday dinners, community events, etc.
  • Order office supplies, maintain and distribute accurate inventory of office supplies.
  • Assist with reports and templates - to be approved by leader.
  • Maintain the front office desk and front office area including cleanliness and organization.
  • Put together approved notices in appropriate places in the plant as needed.
  • Run errands to pick up necessary items for office / plant manager, etc. at local places as needed.

Job Dynamics & Interfaces:

  • Internal: Production Team, Maintenance Team, Quality Control
  • External: Clients, Visitors, Partners.

Required Job Qualifications & Competencies
Education & Experience:

  • Supporting Certificate.
  • 1 to 2 years experience in similar position.

Special Working Conditions:

  • Ability to manage several tasks.
  • Work at the plant.
  • Physical efforts required .
