Job Title: Chief Operations Officer

Key Responsibilities
Oversee the operations of our agency services
Lead coaching and professional development training for teams under administration
Performance management for marketing, creative and operations teams
Understand XM’s approach to marketing, and then act as the chief trainer and coach on this approach.
Conduct practice presentations, pitches, and meetings
Coaching individuals to improve their performance, motivation, and success
Review client analytics to help set and communicate goals
Lead marketing workshops for XM teams and clients
Marketing campaign creation, optimization, and management
Retain and grow client relationships
Improving communications between teams and clients
Creative and strategic problem solving to help the agency have more successful relationships with clients
Management strategy and execution to support growth of agency, client accounts, and teams at XM
Performance coaching and training: Regular, structured, one-on-one meetings to help individuals improve their capabilities, get the help they need, and strategically align to the agency’s value proposition
Participate in the development of systems that allow teams to demonstrate clear and measurable value to client relationships.
Providing coaching and standardized training for teams (to be determined based on your capabilities)
Understand and track project scope to achieve agency growth.
Maintain proactive communications regarding account status across multiple account stakeholders including creative team members, internal account managers and senior management.
Assess and then continually innovate and improve Marketing Services processes and workflow.
Constantly monitor and improve customer satisfaction as it relates to successful project management
Create and document marketing services, creatives and operations best practices policies and procedures and provide detailed Trend Analysis reporting on all creative job performance.
Manage, lead, and develop a team of associates through timely performance feedback delivered during day-to-day observations, file reviews and an annual performance review.
Responsible for creating individual development plans and business objectives designed to enhance and assist associate growth.
Support the leadership of cross-functional project teams that include strategy, creative, analysts and production through all phases of the project.
Carry out all other administrative support functions required for the company
Person Specification and Competency Requirments
Bachelor's Degree required and a Master's Degree is a plus
Over ten (10) years of experience in a marketing agency, business administration, or related field. Also, a minimum of 7 years of supervisory experience is required.
Great communication and client-facing skills
Management experience (people, process, and presentation skills)
Agency experience (marketing, production, PR, creative, OR related experience)
Demonstrated communication/marketing experience for large corporates
A focus on service, responsiveness, and superior client service
Experience working collaboratively with a creative department to conceive, create, and deliver outstanding creative communications products
Superior interpersonal skills including courtesy, professionalism, and a cooperative attitude
Strong organizational and interpersonal skills
Strong written and oral communications skills
Responsive and open to feedback
Strong analytical, problem-solving, and decision-making capabilities
Ability to multi-task in a fast-paced environment
Experience with orchestrating the development marketing collateral (print and online) and marketing channels (e.g. e-mail, social, and events)
Experience working collaboratively with a creative department to conceive, create, and deliver outstanding creative communications products, and campaigns

Self-starter with the willingness to take initiative and see opportunities ahead
Proficiency in MS Office Applications (Word, PowerPoint, Outlook, Excel)
