Reports to: Administration Manager.

Job Description

  • The Receptionist will be responsible for handling a variety of administrative support tasks, including answering phones, receiving visitors, preparing meeting and training rooms, sorting and distributing mail, and making travel plans.

Responsibilities

  • Greet visitors and provide them with a positive first impression of the organization.
  • Answer and transfer incoming phone calls and take messages when necessary.
  • Monitor and manage the main reception email inbox, responding to inquiries and forwarding messages to appropriate staff members.
  • Coordinate and schedule meetings, appointments, and events as requested.
  • Assist with office administration tasks, such as maintaining office supplies, managing mail and courier deliveries, and organizing office events.
  • Provide administrative support to other departments and staff members as needed.
  • Maintain a tidy and organized reception area, ensuring that it reflects a professional image of the organization.
  • Comply with all office policies and procedures related to reception and administrative tasks.
  • Manage the front desk calendar and ensure that it is up to date and accurate.
  • Perform other duties and responsibilities as assigned

Qualifications, Experience, and Attributed Skills

  • Associate’s or Bachelor’s Degree in a related field.
  • Minimum of 3 years prior experience as a receptionist or in a related field.
  • Consistent, professional dress, and manner.
  • Experience with administrative and clerical procedures.
  • Ability to contribute positively as part of a team, helping out with various tasks as required.
  • Excellent written and verbal communication skills.
  • Competency in Microsoft applications including Word, Excel, and Outlook.
