Job Title: Sponsorship Participant and Reporting Specialist

Reports to: Head of Sponsorship Operations
Role Purpose
Plan updated global strategy asks for a transformation of our core sponsorship product, representing the voices of the children and communities where we work, evolving to take advantage of the growing digital capability in society. Building on our core one to one relationship product to a broader set of products tailored to the various contexts and geographies in which we work and to the profile of donors who give and engage in a display of global solidarity.
Child Sponsorship is Plan's largest source of global support and income for delivering programmes. The sponsorship team manages our global sponsorship participants of over 1.4 million sponsors and sponsored children, ensuring performance in sponsorship against KPI's and identifying/promoting best practice. The sponsorship team overseas the processing, transfer and integrity of our global sponsorship data.
This role will support the transformation the way sponsorship in Plan International operates. 1-2-1 sponsorship has been identified as a critical element of Plan International’s new strategy, which calls for a transformation of sponsorship by strengthening and optimizing it.
The role is required to manage the Global Sponsorship Participant and reporting to support the growth in the number of children and sponsors that Plan works with.
The role will work with relevant colleagues to ensure all policies and processes relating to Sponsorship Participant policy and procedures are complied with, relevant and allow for the effective assignment and retention of Sponsors and engagement of Sponsored Children.
The post holder will be responsible for the analysis of sponsorship data/information and reports to support continuous improvement of sponsorship communications / programme / initiatives and will coordinate and support the sponsorship participant long-term and annual planning process and will follow -up and monitor the implementation.
Dimensions of the Role
Manages the allocation of approximately 200,000 Sponsored children per annum to 20 Plan National Offices to support global Sponsorship growth.
Co-ordinates the enrolment of sponsored children across 50 countries to achieve annual caseload objectives.
Ensure all policies and processes relating to Sponsorship Participant seek to minimise overheads and support organisational growth
Ensures relevant and timely global management reporting and analysis on all aspects of Sponsorship data
Works with the Head of Sponsorship Operations in developing an updated global long -term sponsorship participant allocation plan and annual plans in coordination with all RHs, COs, NOs.
To collaborate with National Organisations and Plan Programme Countries to achieve agreed sponsorship participant annual plans.
No budget holder and no direct reports
Accountabilities
Global Sponsorship Participant Long -term plan and annual plan:
Consolidates and maintains an updated and approved global long-term sponsorship participant allocation plan and reports any issues to the Head of Sponsorship Operations
Provides inputs to Hosp for the annual sponsorship participant planning guidance
Collates and reviews information from regions for the global participant allocation plan annually and updates the long-term global participant allocation plan for review of Head of Sponsorship Operations
Monitors the implementation of the Sponsorship participant allocation plan to be within the agreed targets and limits to minimise overheads and reports variances and issues to Head of Sponsorship Operations
Works with NOs to meet their sponsorship growth forecasts to achieve Country Sponsorship Participant targets and the implications of sponsorship participant movements are understood and managed.
Allocation of Sponsorship Participant to NOs in response to NO marketing requirements:
Pooling:
Allocation is in line with agreed targets identified through the annual planning process
Variations from annual targets are negotiated and agreed with NOs. Report any and resolutions to Head of Sponsorship Operations
Requests for SCIs fulfilled within agreed timelines.
Carry out regular analysis of global performance management reports on sponsorship participant and other sponsorship reports:
Regular reporting and analysis of CO and NO trends (assigned, unassigned, submitted, pooled, dual enrolment). Issues/ variances including meeting timelines of phase -in enrolment and phase-out cancellations.
Follow -up Sponsorship participant issues with NOs and COs via RH
Best practice as well as actions required to resolve issues is provided with the Head of Sponsorship Operations
Timely informs Head of Sponsorship Operations on challenges in Sponsorship participant
Generate/consolidate needed data/reports (including NO SC letter quality review) to support the global sponsorship quarterly performance report in coordination with staff responsible for the report.
Analyse sponsorship data, information and produce reports to be shared with relevant stakeholders periodically for learning and to support continuous improvement of sponsorship.
Phase-out:
Update approved phase -out plan file/spread sheet and track cancelation timelines
Inform Hosp on actions taken to address issues /gaps
Pool replacements in advance where needed
Control Environment:
New enrolments, usable visibility, cancellations, absent SCs are monitored and reported
Breaches in business rules are identified and actions advised to resolve.
Check known issues that impacts on sponsorship participants and advise Hosp on actions
Advise the Head of Sponsorship Operations of any risks associated with gaps in or incorrect application of Sponsorship Participant policies and procedures
Data Assurance / Reconciliation:
Work with NOs on a regular basis (at least once a year) to ensure data related to sponsorship participant transactions at NO and ChildData are reconciled.
Power BI:
Coordinate changes and Implement improvements to sponsorship reporting on Power BI
Provide training to users of the sponsorship reports in Power BI
Represent sponsorship on Power BI initiatives and discussions
Act as contact person for Sponsorship Participant data/information
Provides consistent and quality support on Sponsorship Participant issues to Field (RH-COs) and NO users on a timely manner
Supports Sponsorship projects as agreed with the Head of Sponsorship Operations
