Job Description

• We are looking for a talented and detail-oriented Creative Event Experience Specialist who possesses a creative mindset and excellent organizational skills.
• In this role, you will be responsible for ideating, planning, and executing exceptional events and picnics while keeping an eye on every detail.
• Your ability to research, negotiate with vendors, and create aesthetically pleasing mood boards will be crucial in delivering memorable experiences to our clients.

Responsibilities and Duties
Event Ideation and Planning:

• Collaborate with clients to understand their vision and requirements for each event.
• Brainstorm creative themes, concepts, and ambiences that resonate with clients' goals.
• Utilize creativity and quick thinking to produce aesthetically pleasing mood boards.
• Use tools like PowerPoint, Pinterest, and other design software to create visual concepts.
• Develop comprehensive event plans, timelines, and budgets.
• Collaborate with the creative team to refine event aesthetics and designs.

Venue Sourcing and Vendor Management:

• Scout and recommend suitable event venues based on client preferences and budget.
• Identify and select appropriate vendors, ensuring the delivery of quality services.
• Negotiate vendor contracts and terms to achieve cost-effective solutions.
• Coordinate all aspects of venue logistics, including setup, décor, and technical requirements.
• Maintain strong vendor relationships and evaluate performance regularly.

Event Execution and Coordination:

• Oversee on-site event coordination, ensuring meticulous attention to detail.
• Manage event timelines and troubleshoot any issues that may arise during events.
• Create and deliver exceptional event experiences for clients and attendees.

Budget Oversight:

• Develop and maintain event budgets, tracking expenses and ensuring adherence to financial guidelines.
• Provide regular budget updates to clients, offering cost-saving recommendations.

Qualifications

• Proven experience in event planning and coordination is a plus but not mandatory.
• Exceptional creativity and the ability to conceptualize unique event experiences.
• Strong research, negotiation and vendor management skills.
• Proficiency in PowerPoint, Pinterest, Canva and other design software for mood board creation and event concept development.
• Organizational skills to manage project timelines and tasks effectively.
• A passion for staying updated with industry trends and a hunger to excel in the event planning field.
