We are an indigenous non-profit and non-governmental organization with Head Office in Abuja and field offices in several locations across Nigeria. Our landmark achievements with care and treatment services for adolescents and young persons in Nigeria continue to bring the organization to the attention of the international community. With support and input from varied stakeholders, STEM Hub for Empowerment of young women (S.H.E) project's new and innovative approach is designed to encourage the increased participation of adolescent girls and young women in the traditional male spaces of technology, digital skills, and financial literacy. Located in Ikeja, Lagos, the state-of-the-art STEM (Science, Technology, Engineering, and Mathematics) Hub started operations for vulnerable adolescent girls and young women (AGYW) between the ages of 16 and 24 years. They will have the opportunity to participate in youth-friendly training at no cost, following a standardized curriculum with a focus on obtaining standard and globally accredited certifications.

Job Purpose

  • The position provides administrative support to the department and contributes to the smooth operation of the office, assisting with the maintenance and sustenance of a professional office environment.
  • Duties include general clerical, receptionist, and project-based work.
  • The incumbent projects a professional company image through in-person and phone interaction.

Front Office Management:

  • Management of the reception areas which includes:
    • Meet and greet visitors/clients politely and professionally.
    • Responding to telephone and in-person requests for information.
    • Maintain visitors register.

Logistics Management:

  • Support in the coordination of logistics.
  • Effective and efficient coordination of staff logistics requests/arrangements.

Clerical and Administrative support:

  • Effectiveness in maintaining and updating documents both manually and electronically with a good filing system that ensures documentation is easily accessible.

Other Essential Duties and Responsibilities:

  • Record minutes of meetings.
  • Answer and respond to the organization’s emails and phone calls, and forward communications to appropriate parties as necessary.
  • Communicate with managers to coordinate schedules.
  • Maintain company files and records to ensure they remain updated.
  • Help with office management and organization processes.
  • Track inventory of office supplies and inform the management about any shortages.
  • Plan and book travel arrangements and venues for organization’s events.
  • Schedule meetings and plan various department activities and calendars.
  • Prepare and distribute office mail, such as letters, memos, invitations, and brochures.
  • Communicate regularly with staff to help procure needed items.
  • Handle and organize office filing systems effectively.
