Job Title: Front Desk & Operations Assistant
Location: Jabi - Abuja (FCT) / Victoria Island - Lagos

Role Summary
The Front Desk & Operations Assistant will perform a range of duties covering receptionist and secretariat tasks and internal operations tasks.
Concerning the receptionist and secretariat tasks, the Front Desk & Operations Assistant is to manage the reception, attend to all inbound phone calls and visitors of the business, and signpost clients/guests/stakeholders who visit the company’s premises.
Regarding the internal operations tasks, the Front Desk & Operations Assistant is to perform administrative duties, support the Finance & Operations Manager in handling internal business processes, undertake general office management duties, and maintain and replenish the budget for office supplies.
Job Role
Front Desk & Administration duties:
Answering and directing phone calls to relevant staff.
Greet and welcome guests as soon as they arrive at the office. Direct visitors to the appropriate persons and/or office. Answer, screen and forward incoming phone calls.
Ensure reception and office area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
Accepting all letters and packages and distributing them to their appropriate departments.
Organizing travel arrangements for senior managers and other staff. ·
Responsible for handling front office reception and administration duties
Keeping updated records and files, also monitoring office expenses and costs
Responsible for evaluating suppliers, products and services.
Helps in clearing of goods.
Working with accounting and management team to set budgets and other expenses.
Internal Operations duties:
Providing support to the procurement activities
Coordinate repairs of office equipment.
Scanning document for various department. Perform other duties as requested by management.
Maintains stock list and manage supplies when needed.
Monitors and coordinate the transport department. This includes team meetings and conveying information from senior management to the transport team
Work on purchase orders and MLAs for Clients
Data entry about dates of purchase, licenses & maintenance on CRM
Tracking product maintenance dates on CRM.
Customer Supports duties:
Provide accurate information in-person and via phone/email. Receive, sort and maintain office security by following safety procedures and controlling access via the reception desk (e.g. monitoring logbook, issue visitor badges etc.).
General customer services and support
Handling Esri and OEM related issues to do with administration and operations.
Complaint handling and resolution: Serving as the first point of contact for client complaints and collating and passing on client complaint issues to the relevant department (this must be done using the complaint resolution form and protocols).
Qualifications
Minimum of B.Sc Accounting or equivalent
Minimum of 2 years’ relevant work experience.
