Position Background
This position is pivotal to the organization Lagos state HIV program, with close to 80,000 PLHIV receiving lifelong and lifesaving HIV care and treatment services.
The incumbent will ensure a smooth interphase between program and administrative support and technical drive for target achievement.
S/He will be the Community liaison person for all community groups engagement manage the State and satellite command administrative operations and track program performance through work plan and other program reporting by the following strategies:
Community liaison and engagement: Work with the CSO OVC to Facilitate the scale of the family matters program Coordinated the implementation of OVC program activities and documentation through Community Based Organizations (CBOs), Education, health, Psychosocial support, Design and coordinate the implementation of OVC program activities in line with national guidelines.
Administrative support processes for State Teams: Work with the senior admin associate on Management of office consumables and stationaries, workspace management and equipment maintenance, Support the provision of logistics during meetings, trainings and workshops. Supports.
Community Liaison and Engagement:
Working with the CSO OVC will:
Facilitate the scale of the family matters program.
Coordinated the implementation of OVC program activities and documentation through Community Based Organizations (CBOs), Education, health, Psychosocial support
Design and coordinate the implementation of OVC program activities in line with national guidelines.
Interface with, GON, USG, and CBO programs to facilitate synergies and initiatives to improve the package of care and support services.
Ensure the organization meets the established OVC program goals and objectives and planned outputs and outcomes, and that these results are documented.
Ensure that the organization continues to build programs on vulnerable children based on strategic analysis of the Nigerian context.
Continue to promote the organization practice of sound program analysis in the area of programming for vulnerable children.
Develop/ review training curriculum on HIV care and support for training CBOs and care givers of vulnerable children.
Review and update training curriculum regularly as necessary in line with FOMWAD National training curriculum on vulnerable children in Nigeria.
Design and administer trainings around organizational development and oversee ongoing capacity building interventions.
Participate in national capacity building and systems strengthening initiatives intended to promote local ownership and contribute to the sustainability of OVC programming.
Administrative support processes for State Teams - Office Management:
Management office consumables and stationaries, workspace management and equipment maintenance
Support the provision of logistics during meetings, trainings and workshops. supports
Support the adherence of all office protocols at all times.
Manage office cleanliness at all times.
Fleet Management:
Maintain and manage vehicular movement.
Support routine fueling of project vehicle from prequalified service stations
Request for routine servicing/minor repairs of vehicle (s)
In collaboration with supply chain unit, prequalify reputable and competent garage(s) that
specializes in the repair of vehicles.
Staff Travel & Logistics:
Facilitate the prequalification of hotels and caterers that offer quality services in various locations of the organization offices.
Inspect hotels and catering facilities using the approved checklists.
Keep a database of the prequalified hotels and caterers in their respective states with copy to the
Central office Admin Officer who will keep a consolidated database of all prequalified hotels and caterers.
Review performance of the prequalified hotel which should be carried out bi-annually and outcomes documented.
Drop or blacklist a prequalified hotel which services fall below expected standard as the case may be and reasons for such action documented.
Power Utilization:
Support the fueling and Maintenance of Generator
Use the generator logbook to track the usage time and diesel consumed
Monitor the daily power consumption and record in the log daily.
Report any meter issues immediately.
HSE & Security:
Support Admin team to ensure strict compliance on the security protocols and guide the
security operatives to take preventative measures to deter crime and maintain safety of the
organization staff and program assets at all times.
