Job Title: Personal Assistant to the MD

Job Overview
As a Personal Assistant (PA) to the Managing Director (MD), you will be responsible for providing comprehensive administrative and secretarial support to ensure the smooth functioning of the MD’s office.
This role requires exceptional organizational skills, discretion, and the ability to handle confidential information with integrity.
The PA will act as a liaison between the MD and internal/external stakeholders, managing schedules, coordinating meetings, and handling correspondence.
The ideal candidate will be proactive, efficient, and capable of multitasking in a fast-paced environment.
Key Responsibilities
Calendar Management: Efficiently manage the MD’s schedule, including organizing meetings, appointments, and travel arrangements.
Communication: Screen and prioritize emails, phone calls, and correspondence for the MD, ensuring urgent matters are addressed promptly and non-essential items are appropriately handled.
Meeting Coordination: Arrange and coordinate meetings, conferences, and other events, including preparing agendas, collating documents, and ensuring all necessary arrangements are in place.
Information Management: Maintain and organize files, records, and databases, ensuring easy retrieval of information as needed.
Travel Arrangements: Make travel arrangements for the MD, including booking flights, accommodation, transportation, and preparing travel itineraries.
Document Preparation: Prepare and edit documents, presentations, reports, and other materials as required by the MD, ensuring accuracy and professionalism.
Confidentiality: Handle sensitive and confidential information with discretion and maintain confidentiality at all times.
Relationship Management: Build and maintain effective relationships with internal and external stakeholders, including clients, partners, and colleagues, on behalf of the MD.
Expense Management: Process and track expense reports, invoices, and reimbursements for the MD.
Task Prioritization: Prioritize tasks and manage time effectively to ensure deadlines are met and objectives are achieved.
Problem Solving: Anticipate potential issues and proactively resolve them, seeking input from the MD when necessary.
Ad Hoc Support: Provide additional administrative support and undertake ad hoc tasks as requested by the MD.
Requirements
Candidates should possess a Bachelor's Degree in Business Administration, Secretarial Studies, or a related field preferred.
Proven experience as a Personal Assistant or Executive Assistant to senior management.
Exceptional organizational and time-management skills.
Strong communication and interpersonal abilities.
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and other relevant software.
Ability to handle sensitive information with discretion and confidentiality.
Flexibility to adapt to changing priorities and work under pressure.
Professional demeanor and appearance.
Ability to work independently with minimal supervision.
Preferred Qualifications:
Previous experience in a similar role within the industry.
Additional certifications or training in office management or administrative support.
Knowledge of project management tools and techniques
