Job Purpose
The incumbent will manage day-to-day operations of projects in Lagos' Satellite office by organizing schedules and providing technical support for the Unit. In addition, the Program Assistant will help to develop materials, translate documents, and organize the program files, including updating the program Management and CIHP’s file on a regular basis.
S/he will facilitate the distribution of project material to project sites.
Essential Duties and Responsibilities
Review/collate periodic programmatic reports (monthly, quarterly, and annually) and submit to the unit head.
Review/collate program narratives for Continuation Applications from the thematic areas Finance/Mgt support units.
Collate Work Plan, success stories, and other supporting documents for Continuation Applications.
Provide program support for technical meetings held at the Satellite Office or as may be required from time to time.
Collate Minutes of technical/weekly Clinical Services Unit meetings and share with team members.
Follow up on action points/next steps from technical/weekly Clinical Services Unit meetings.
Maintain a central database for Minutes of Meeting, and Technical meetings for the Clinical Services Unit.
Collate community-based Based Organizations performance reports across supported LGAs and forward to the Strategic Information Unit.
Track the implementation of the unit’s work plan and flag gaps in a timely manner.
Provide program support for the conduct of technical unit review and strategic planning meetings including scheduling, report writing, and tracking of next steps.
Collate Minutes of technical/weekly Unit meetings and share with team members.
Follow up on action points/next steps from Unit meetings.
Maintain a database of Minutes of Meetings, work plans, and success stories for the unit.
Collate periodic programmatic reports from all state teams and submit to the unit head.
Qualifications and Experience
University Degree with a minimum of two years post-NYSC experience in INGO office administration or program support.
Demonstrated high-level organizational, communication, and administrative experience.
Demonstrated experience in data entry and data management.
Demonstrated experience in the development and implementation of policies and procedures.
Excellent interpersonal and organizational skills with the ability to organize workflow and coordinate activities and prioritize workload.
Demonstrable project management and organizational skills.
Ability to handle multiple tasks simultaneously.
Ability to take initiative, and attention to details.
Excellent interpersonal skills.
