We are recruiting to fill the position below:

Job Title: Executive Secretary

Location: Lekki / Epe, Lagos
Employment Type: Part-time

Responsibilities

  • Provide exceptional administrative and executive support to the CEO and senior management team.This includes managing calendars, scheduling appointments and meetings, arranging travel, and ensuring smooth day-to-day operations of the CEO's office.
  • Act as the first point of contact for the organization.This involves professionally greeting visitors, fielding phone calls and emails, and directing inquiries accordingly.
  • Prepare high-quality and confidential correspondence, presentations, and reports.This includes proficiency in taking dictation and transcribing recordings accurately.
  • Coordinate and manage Board of Directors meetings.This includes preparing agendas, taking minutes, and ensuring timely distribution of all materials.
  • Maintain a comprehensive filing system for all organizational documents and records.This ensures efficient retrieval of information whenever needed.
  • Provide logistical support for events and programs.This includes assisting with planning, preparation, and execution of events aligned with the foundation's mission.
  • Stay up-to-date on the foundation's programs and activities.This allows you to effectively answer inquiries and represent the organization professionally.
  • Utilize technology efficiently - Proficiency in Microsoft Office Suite and other relevant software is essential.

Qualifications

  • University Degree in Business Administration, Secretarial Studies, or a related field (preferred).
  • Minimum of 5 years of experience working as an Executive Secretary or similar role within a non-profit organization (highly preferred).
  • Excellent communication and interpersonal skills, with the ability to build rapport with people from diverse backgrounds.
  • Strong organizational skills with a keen eye for detail and accuracy.
  • Ability to prioritize tasks effectively and manage multiple deadlines in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Discretion and ability to maintain confidentiality.
  • Must be ready to travel at short notice
  • A passion for the NGO sector and a commitment to the foundation's mission.
