Mayfair Gardens Property Owners and Residents Association (MAGPORA) is an Association saddled with the responsibility of managing the affairs and maintenance of the estate.

We are recruiting to fill the position below:

Job Title: Administrative Secretary

Location: Awoyaya, Lagos
Employment Type: Full-time

Job Description

  • Provide quality administrative support to MAGPORA via EXCO/GM-Facility Management/ Operations Manager.
  • Supervise and manage daily staff attendance register (sign in and sign out).
  • Manage the Welcome Desk for new residents and issue them MAGPORA Welcome Packs.
  • Plan for and attend MAGPORA AGM/Monthly General Meeting/Committees Meetings.
  • Manage MAGPORA membership database by constantly collecting, reviewing, updating membership details as people join or exit the estate.
  • Manage MAGPORA secretariat administrative support services by ensuring the reception area is kept clean, organized and noise free always. Also you will ensure cleaning, lighting, repairs, water supply, waste disposal, toiletries and stationery required to run the office are timely resourced and optimally utilized. The surrounding perimeter to also be kept clean always.
  • You may be required to conduct research (within skills and expertise) to assist with projects or collate stakeholders' interest/opinions on emerging issues.
  • Update staff records and ensure safety of staff files.
  • Coordinate and schedule meetings and appointments. Manage meeting rooms as a resource.
  • Prepare agendas and schedules for meetings, conferences, and other assigned events; issue notice, take and distribute minutes or other notes as requested.
  • Maintain inventory of meeting related assets: voice recorders, refreshments and related supplies etc.
  • Respond to and resolve administrative inquiries and complaints.
  • Welcome and direct visitors and clients.
  • Perform other general clerical and secretarial duties as requested, which may include recordkeeping, managing petty cash, maintaining office supplies and coordinating equipment maintenance, inventory of consumables in stores, and handling packages and correspondence.
