We are recruiting to fill the position below:

Job Title: Administrative Executive

Location: Wuse II, Abuja (FCT)
Employment Type: Full-time

Job Description

  • An Administrative Executive plays a crucial role in ensuring the smooth operation of the organization by providing administrative support to various departments and team members.
  • At BookieLavida Beauty Consult, the administrative assistant’s roles and responsibilities would include:

Responsibilities
Office Management:

  • Office Supplies Management: Monitor and manage office supplies inventory, ensuring that necessary items are ordered and stocked.

Administrative Support:

  • Documentation: Prepare, organize, and maintain documents, files, and records, both physical and digital.
  • Scheduling: Manage calendars and appointments for executives and team members, coordinating meetings, conferences, and travel arrangements.
  • Correspondence: Handle incoming and outgoing communications, including emails, phone calls, and mail.
  • Data Entry: Enter and update information in databases and spreadsheets accurately.

Meeting and Event Coordination:

  • Meeting Preparation:Arrange and prepare materials for meetings, including agendas, presentations, and reports.
  • Event Planning: Assist in planning and organizing company events, such as training sessions, workshops, and corporate events.
  • Minutes and Follow-ups: Take minutes during meetings and ensure follow-up on action items.

Financial Administration:

  • Invoicing and Billing: Assist with the preparation and processing of invoices, purchase orders, and expense reports.
  • Budget Tracking: Help track departmental budgets and expenditures, providing updates to the finance team.

Communication and Liaison:

  • Internal Communication: Facilitate effective communication within the organization, ensuring information is disseminated appropriately.
  • External Liaison: Act as a liaison between the company and external stakeholders, such as vendors, clients, and service providers.

Project Assistance:

  • Project Coordination: Assist in coordinating and managing small projects, ensuring timelines and deliverables are met.
  • Research: Conduct research and compile information as needed for projects and reports.

HR Support:

  • Onboarding: Assist with the onboarding process for new employees, including preparing welcome materials and organizing orientation sessions.
  • Employee Records: Maintain and update employee records and assist with HR-related documentation.

Compliance and Policy Adherence:

  • Policy Implementation:Ensure compliance with company policies and procedures, assisting with their implementation and adherence.
  • Confidentiality: Handle sensitive information with the utmost confidentiality and discretion.

Miscellaneous Tasks:

  • Ad hoc Duties: Perform additional administrative tasks and special projects as required by management and team members.

Requirements

  • Candidates should possess B.Sc Degrees with 3+ years relevant work experience.
  • Preferably females.

Salary
N100,000 Monthly.
