Job Description
We are seeking a highly qualified Proposal and Tender Manager to join our team.
As a Proposal Manager, you will play a crucial role in the sales process; ensuring that proposals are compelling, and aligned with both the client’s needs and the company’s offerings.
Main Responsibilities:
Prepares, negotiates and reviews contract terms with internal and external clients/partners.
Ensures contracts are in compliance with applicable laws and regulations.
Develops and drafts business proposals for strategic partnerships and similar deals.
Assures all necessary clauses and details are included in contracts.
Remains up-to-date with legislative changes that could affect current and future contracts.
Maintains an organized system of physical and digital records.
Develops Proposal Plan and reviews Enquiry Summary where necessary and required.
Organizes and holds bid kick-off meeting.
Advises management on proposal matters.
Manages the interfaces with Partners and Client.
Analyzes/explains requirements, terms and conditions of Contract to managers and interested parties.
Assists in bid vendors list definition.
Approves the cost estimate of materials.
Prepares the bidding documents for Contractor/subcontract RFQs; Identifies the pre-bid agreements to be completed, if necessary.
Endorses the project organization, overall project schedule, overall execution plan, overall resources plan developed by the Project team.
Integrates proposal packages prepared by the individual Operating Companies and Proposal Partners (if any) and reconciles possible discrepancies.
Manages proposal timelines, ensuring timely completion and submission to the proposal to the Client.
Coordinates with subject matter experts across departments for proposal content.
Liaises with and supports the Project Manager to ensure the project is executed safely and properly.
Supports negotiations of claims, manages contractual changes and resolves disputes or conflict resolution with Contractors.
Maintains and updates a Content Management System for proposal documentation.
Manages proposal timelines and coordinates proposal governance and sign-off.
Coordinates and reviews/edits proposal input from a variety of stakeholders, typically involving contributions from sales, marketing, product teams, finance, commercial, legal and delivery.
Documents template management in line with company branding.
Ensures timely delivery of compliant, professionally produced proposals within customer-defined timeframes.
Any other relevant duties as may be assigned from time to time.
Qualifications / Requirements
Bachelor's Degree in Engineering, Business Administration or a related field.
3 - 5 years of experience in Sales, Marketing or related role, in the oil and gas sector.
Good knowledge of contract law and legal requirements involved with contracts.
Has strong negotiation and mediation skills.
Experience with sales tools and software.
Strong communication and leadership skills.
Strong attention to detail and project management skills.
Subject Matter Expertise in proposal and RFP best practices.
Exceptional written and verbal communication skills.
Should reside in Port Harcourt or willing to relocate.
