Job Title: HR / Admin Officer

Responsibilities
Assist in recruitment processes, including job postings, screening, interviewing, and onboarding.
Maintain and update employee records, contracts, and HR databases.
Handle employee relations, including conflict resolution, grievances, and disciplinary procedures.
Manage payroll processing, leave records, and benefits administration.
Ensure compliance with labor laws and company policies.
Coordinate training and development programs for employees.
Conduct performance appraisals and support employee growth initiatives.
Oversee office operations and ensure a well-organized work environment.
Manage office supplies, vendors, and service providers.
Handle correspondence, documentation, and filing systems.
Organize company events, meetings, and travel arrangements.
Ensure compliance with company policies, health, and safety regulations.
Supervise daily office activities to ensure smooth and efficient operations.
Establish and maintain office procedures to enhance workflow and productivity.
Ensure office cleanliness, organization, and proper maintenance of facilities.
Coordinate IT support services to address technical issues and maintain office equipment.
Manage office supplies inventory, ensuring timely procurement and cost-effectiveness.
Source, negotiate, and manage relationships with vendors, service providers, and contractors.
Monitor vendor performance and ensure service quality aligns with company standards.
Maintain records of purchases, pricing, and contracts for future reference.
Support the management team with reports, documentation, and research as required.
Requirements
Educational Qualifications:
Bachelor’s degree in Human Resources, Business Administration, Industrial Relations, Management, or a related field.
Professional HR certification (e.g., CIPM, SHRM, HRCI) is an added advantage.
Background in Law is also an added advantage
Additional training or coursework in labor law, payroll management, or office administration is desirable.
Work Experience:
Minimum of 3+ years of experience in HR and administrative rolespreferably in a corporate or structured environment.
Hands-on experience with recruitment, employee relations, and performance management.
Proven track record in managing administrative tasks, office operations, and vendor coordination.
Experience in payroll processing and benefits administration.
Other Competencies:
Strong understanding of labor laws, workplace regulations, and HR best practices.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and HR software (e.g., BambooHR, Zoho People, Workday, SAP HR).
Familiarity with payroll, tax deductions, and compensation structures.
Knowledge of employee engagement strategies and performance appraisal processes.
Basic accounting and financial management skills for tracking HR budgets and office expenses.
Experience in handling workplace compliance, safety regulations, and disciplinary procedures.
Excellent organizational and multitasking skills, with the ability to manage competing priorities.
Strong written and verbal communication skills for preparing reports, memos, and official correspondence.
Ability to maintain confidentiality and handle sensitive employee information with integrity.
Effective problem-solving and decision-making skills to address workplace issues and employee concerns.
Strong leadership and interpersonal skills to foster a positive work environment.
Ability to work independently with minimal supervision and collaboratively within a team.
High level of attention to detail and accuracy in documentation and record-keeping.
