Job Summary
We are actively seeking a skilled and proactive Estate Facility Manager to join our dynamic team. As the Estate Facility Manager, you will play a critical role in maintaining facility compliance and ensuring that all regulatory standards are met.
This position requires a hands-on leader who can effectively manage a small team and is responsible for the upkeep of our facilities and equipment across various properties and estates.
In this role, you will handle urgent maintenance tasks, manage the maintenance budget, and oversee external service providers to ensure that our facilities remain in optimal condition. Your expertise will be pivotal in
Driving efficient facility management processes;
Formulating and implementing effective communication protocols so that management and clients are duly updated on all key facility management-related matters; and
Maintaining a safe, compliant, and productive environment for our organization and clients.
Regular reporting will be a key component of your effectiveness, including producing comprehensive, written reports in clear formats that are easy for a wide range of stakeholders to digest, in order to ensure alignment with our standards of operational excellence. Key Responsibilities
Develop and implement facility management policies and procedures to ensure the efficient operation of our properties and assets.
Manage facility-related budgets, including approving maintenance expenses and capital expenditure projects, to support the Company’s financial goals.
Ensure compliance with all relevant health, safety, and environmental regulations, in line with the organization’s standards.
Lead, recruit, and train the facilities management team to meet the Company’s operational objectives and maintain high standards.
Conduct regular inspections and audits to identify repair and/or renovation needs across the company's properties.
Plan and manage central services, such as reception, security, cleaning, waste disposal, and parking, to enhance the operational efficiency of our facilities.
Provide facilities management-related input towards the purchase, sale, rental, and development of Company properties in alignment with the Company’s strategic goals.
Monitor income and expenditure for the Company’s facilities and manage payment collections effectively.
Authorize expenditures for maintenance, repairs, equipment, and supplies while adhering to the Company’s financial guidelines.
Keep property owners and stakeholders informed about charges (including but not limited to taxes, service charges, utility charges, etc.), occupancy rates, and lease expiration dates to ensure seamless operations.
Resolve complaints from owners and residents of relevant properties promptly to uphold the Company’s reputation for excellent customer service.
Prepare accurate financial statements and records to support the Company’s financial reporting and decision-making.
Report regularly to management on the status of facilities, operations, and strategic objectives.
Handle emergency issues swiftly and effectively to minimize disruptions and maintain the safety and functionality of the facilities.
Requirements
Bachelor’s degree in Facilities Management, Engineering, Business Administration, or a related field.
A minimum of 8 years of proven experience as a Facilities Manager in a residential area is required.
Strong understanding of property management and the real estate market.
Excellent organizational, leadership, and decision-making skills.
Exceptional (written and oral) communication skills and interpersonal abilities.
In-depth knowledge of relevant legal regulations, health and safety standards, and building codes.
A strong network of service providers relevant to the facilities management field.
Proficiency in MS Office and facilities management software.
