We are recruiting to fill the position below:

Job Title: Office Administrator

Location: Port Harcourt, Rivers
Employment Type: Full-time

Job Summary

  • The Office Administrator plays a crucial role in ensuring the smooth functioning of our office operations. 
  • This position involves a variety of administrative tasks that support both the management team and other staff members. 
  • The successful candidate will be organized, proactive, and detail-oriented, with a strong ability to prioritize and manage multiple responsibilities.

Key Responsibilities
Administrative Support:

  • Provide general administrative and clerical support to the office.
  • Manage office communication, including phone calls, emails, and correspondence.
  • Schedule and coordinate meetings, appointments, and travel arrangements.

Document Management:

  • Maintain and organize company files and records, both physical and digital.
  • Prepare and edit documents, reports, and presentations.
  • Ensure all printed materials are of high quality and distributed appropriately.

Office Organization:

  • Maintain office supplies inventory and place orders as needed.
  • Oversee the cleanliness and organization of the office space.
  • Assist in the onboarding process of new employees, including setting up workstations.

Financial Administration:

  • Assist with budgeting and invoicing, including processing receipts and payments.
  • Maintain accurate financial records and assist with monthly financial reporting.

Customer Service:

  • Serve as the first point of contact for visitors and clients, providing a welcoming environment.
  • Address inquiries and direct them to appropriate personnel.

Project Support:

  • Assist with special projects and events as assigned by management.
  • Collaborate with team members to achieve organizational goals.

Requirements

  • Education: High school diploma or equivalent; an associate’s or bachelor’s degree in business administration or related field is a plus.
  • Experience: Proven experience as an office administrator, office assistant, or similar role.
  • Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable with office equipment (printers, copiers, etc.). Familiarity with accounting software is a plus.
  • Communication Skills: Excellent verbal and written communication skills.
  • Organizational Skills: Strong organizational and multitasking abilities with a keen attention to detail.
  • Interpersonal Skills: Ability to work collaboratively and maintain professionalism in a diverse workplace.
