Job Summary
The Project Admin provides project management support to the Engineering team in the areas of project time management, project procurement and project communication management.
This role requires strong project management skills and communication skills that will ensure projects are delivered on schedule, all key stakeholders are updated on project status on time and project documentation is up to date and readily available.
Key Responsibilities
Executes overall project time management for all projects. This includes planning, developing, managing, communicating and controlling the project schedule in collaboration with the engineering team to ensure projects are delivered on time.
Responsible for project communication management which ensures timely and appropriate planning, collection, creation, distribution, storage, retrieval, management, control, monitoring, and the ultimate disposition of project information and reports to all key stakeholders.
Provides support on project procurements in the areas of planning procurements, creating and tracking procurement schedules and fulfilling project sales orders to ensure materials are available for projects when due.
Manages all project documentation and ensures documents are organized, up to date, and easily retrievable. This includes project planning documents, design documents, engineering documents, financial documents and all other documents related to projects.
Setup new projects and maintain existing project data in the company's ERP system, maintain spreadsheets of important project data such as budgets, schedules, and quality checklists
Provide administrative support to the engineering department including but not limited to coordinating meetings, scheduling appointments, preparing memos, preparing and disseminating meeting reports.
Prepare and send out bi-weekly Project Status Reports to all Project Stakeholders
Performance KPIs
Project Schedule Performance: Planned versus actual delivery time on project phases.
Project Communication Compliance: Planned versus actual communication schedule and policy implementation
Project Documentation Quality and Availability: Complete and up to date project folder according to project folder checklist
Requirements
Qualifications:
Candidates should possess a First Degree or its equivalent in any relevant discipline.
Proven administrative experience, preferably in a project-based environment
Exceptional communication and interpersonal skills, able to engage effectively with clients and stakeholders at all levels.
Professional Development Requirements:
Commitment to continuous learning, with a focus on obtaining or maintaining CEDIA and AVIXA certifications.
Regular attendance at industry workshops, seminars, and training courses to stay current with evolving AV technologies and integration techniques.
Desirable Skills:
Expertise in audiovisual technology with a strong foundation in electronics and networking.
Excellent communication skills for effective client interaction and collaboration with project teams.
