Job Title: Executive Assistant / Technical Assistant

Job Description

• The Executive will provide high-level executive support to the MD while also assisting with technical oversight and project coordination within plantation and processing operations. 
• The ideal candidate will combine strong organizational skills with a solid understanding of agricultural or production processes, helping the MD manage strategic and technical priorities effectively.

Key Responsibilities

• Handle confidential correspondence and communications on behalf of the MD.
• Organize and prepare briefing documents, presentations, and reports for internal and external meetings.
• Coordinate with department heads to ensure timely submission of updates, reports, and performance metrics.
• Take minutes during strategic meetings and follow up on action items.
• Represent the MD in internal and external communications where necessary.
• Monitor key performance indicators (KPIs) across plantation, mill, and field operations and provide regular updates to the MD.
• Assist with field visit planning, data collection, and technical assessments.
• Liaise with field supervisors, agronomists, and production staff to gather reports and ensure alignment with the MD’s directives.
• Prepare technical summaries and operational updates based on data from field operations.
• Support project implementation by tracking progress, identifying risks, and escalating challenges to the MD.
• Provide insights and research on agricultural best practices, technology trends, and sustainability initiatives relevant to oil palm operations. 
• Undertake special projects or research tasks as directed by the MD.
• Manage the MD’s calendar, including scheduling meetings, appointments, travel arrangements, and events.
• Prepare and organize materials for meetings, presentations, reports, and correspondence.
• Act as the first point of contact for internal and external communications on behalf of the MD.
• Screen and prioritize emails, phone calls, and requests, ensuring timely responses.

Requirements

• Bachelor’s Degree in Agriculture, Agribusiness, Engineering, Environmental Science, Business Administration, or a related field.
• Minimum of 3 years’ experience in a similar role, preferably within agribusiness or plantation management.
• Strong understanding of plantation operations, agronomy, or agro-industrial processes is an advantage.
• Excellent organizational, time management, and communication skills.
• Ability to interpret technical reports and translate them into strategic insights.
• High level of professionalism, confidentiality, and attention to detail.
• Proficiency in Microsoft Office (Word, Excel, PowerPoint) and report writing.
