Job Title: Reporting and Documentation Associate
Location: Abuja (FCT) (with occasional travel to project locations)
Duration: 3 months with possible extension

Works Closely With: Project Manager, National Team Lead, and Reporting and Documentation Expert
Background
The National DDR Policy Harmonisation and Community Reintegration Project supports a unified, coordinated, and context-specific approach to disarmament, demobilisation, and reintegration (DDR) in Nigeria. It brings together government actors, civil society, and international partners to design and implement policies and strategies that support community reintegration, peacebuilding, and accountability.
Effective reporting and knowledge documentation are central to this process, ensuring that stakeholder engagements, technical insights, and field experiences are captured and translated into policy-relevant learning.
Purpose of the Assignment
The Reporting and Documentation Associate will support the Reporting and Documentation Expert in capturing, structuring, and producing high-quality written outputs.
The associate will help coordinate documentation workflows, take detailed notes during events, assist with formatting and editing, and contribute to drafting learning briefs and technical reports that reflect both operational realities and strategic insights.
This position is ideal for an early- to mid-career professional seeking to grow in the field of development communications, DDR, or peacebuilding.
Key Responsibilities
Documentation Support:
Take accurate and structured notes during key project events including workshops, consultations, and field visits.
Assist in drafting, reviewing, and formatting technical reports and knowledge products.
Maintain a documentation tracker and filing system for all project outputs and reports.
Support quality assurance by reviewing for consistency, clarity, and completeness.
Coordination and Editorial Assistance:
Coordinate with project staff and consultants to gather inputs and supporting materials for reports.
Help design and maintain reporting templates, style guides, and editorial checklists.
Liaise with graphic designers or communications staff to ensure quality presentation and layout of documents.
Knowledge Management and Dissemination:
Assist in compiling and organising lessons learned, quotes, and case studies for internal and external knowledge products.
Support the production of summary versions of reports for diverse stakeholders.
Help track dissemination timelines and channels for strategic communications.
Team Collaboration:
Work closely with the Reporting and Documentation Expert, Project Manager, and National Team Lead to align outputs with project priorities.
Participate in debrief sessions and internal learning meetings to understand context and priorities.
Assist in ensuring timely submission of key deliverables and version control of outputs.
Expected Outputs and Deliverables
Deliverable Description Documentation Tracker: Regularly updated log of reports, notes, and outputs
Draft Event Notes: Structured notes from consultations and workshops
Formatted Reports: Edited and formatted versions of reports in collaboration with the expert
Knowledge Extracts: Quotes, summaries, and case studies to inform briefs
Support to Learning Report: Contributions to the final synthesis or learning document.
Qualifications and Experience
Education:
Bachelor’s Degree in International Relations, Development Studies, Communications, Journalism, Peace and Conflict Studies, or a related field.
Experience:
2–5 years’ experience in reporting, documentation, research assistance, or editorial support in development or peacebuilding contexts.
Prior exposure to DDR, reintegration, or governance programmes is an added advantage.
Skills and Competencies:
Strong writing, summarisation, and proofreading skills.
Proficient in Microsoft Word, Excel, and document formatting tools.
Organised and detail-oriented, with the ability to manage multiple tasks and meet deadlines.
Familiarity with peacebuilding or reintegration programming is desirable.
Collaborative and willing to learn in a fast-paced team setting.
