Job Summary
Our client in the upstream sector of the oil and gas industry is seeking an experienced Executive Assistant with a minimum of 5 years experience of providing support for C-Level Executives who would be responsible for offering high-level executive support to the Chief Executive Officer and overseeing the end-to-end administration of the executive office.
The incumbent will serve as the primary point of contact for internal and external stakeholders on all matters pertaining to the Office of the Chief Executive Officer.
He/She will work with the CEO in the preparation and presentation of reports, proposals and related activities in servicing and developing business and strategic relationships with key internal and external stakeholders.
The ideal candidate will have the ability to exercise good judgment in a variety of situations, maintain a realistic balance among multiple priorities and handle a wide variety of activities and confidential matters with discretion.
Key Responsibilities
Manage the CEO’s calendar effectively by scheduling appointments, meetings, and other commitments to ensure that the CEO’s time is optimized and can focus on the most critical tasks.
Screen and redirect phone calls, compose and prepare correspondence, and manage email communications on behalf of the CEO.
Attend high level management meetings with the CEO, prepare accurate minutes, and follow up with business leaders on strategic action points for execution.
Ensure the effective flow of meetings, follow-up on action items, and confirm all meetings in advance to optimize the CEO’s time and productivity.
Assist with the management of information by tracking important data, compiling reports, and analyzing data to help the CEO make informed decisions.
Develop and maintain an efficient documentation and filing system to organize and archive letters, memos, itineraries, status reports, presentations, spreadsheets and other related documents.
Maintain office supplies and liaise effectively with relevant departments to ensure the CEO’s office operates smoothly.
Keep up to date with the latest trends and developments in the industry and provide insights and recommendations to the CEO based on your knowledge and expertise.
Maintains the highest level of confidentiality and professional discretion in all interactions and tasks related to the CEO and other sensitive information for the executives.
Completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CEO’s deliverables.
Comply with laid down corporate governance framework of ND Western Ltd. in daily work activities while supporting sustainable long term value creation for the organization.
Build external stake holder relationships crucial to the success of the organization, provide updates on regulatory compliance, stakeholder deliverables and manage a variety of special projects for the CEO.
Oversee all administrative processes on behalf of the CEO including processing payments of both official and personal bills.
Provide additional support to the CEO as required, demonstrating flexibility and adaptability to evolving priorities and responsibilities.
Qualifications & Skills
Bachelor’s degree required.
Minimum of 5 years experience of providing support for C-Level Executives.
Oil and Gas sector experience will be an added advantage.
Proficient ability to use Microsoft Office Suites and other online technology tools
Strong organizational skills that reflect ability to plan, perform and prioritize multiple tasks seamlessly with excellent attention to detail.
Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of client service and response.
Very strong interpersonal skills and the ability to build relationships within and outside the organization.
Excellent oral and written communication skills.
