Job Title: Executive Assistant
Location: Lagos
Job Summary
The Executive Assistant will provide high-level administrative, organizational, and strategic support to the executive team.
This role requires an individual who is proactive, detail-oriented, and capable of handling multiple tasks efficiently.
The ideal candidate must possess excellent time management skills, strong communication abilities, and the ability to maintain confidentiality in all matters.
Key Responsibilities
Calendar Management:
Schedule and coordinate meetings, appointments, and events for executives.
Prioritize and manage conflicting demands on the executive’s schedule.
Ensure all meetings are well-organized, with necessary preparations completed in advance.
Travel Arrangements:
Book flights, hotels, and transportation for business trips.
Prepare detailed travel itineraries and coordinate any changes.
Ensure smooth travel logistics for both domestic and international trips.
Communication Management:
Manage and screen emails, phone calls, and messages for the executive team.
Draft, review, and distribute business correspondence as needed.
Serve as a primary liaison between the executive and internal/external stakeholders.
Document Organization:
Maintain, update, and organize company files, records, reports, and other essential documents.
Ensure all documentation is easily accessible and well-structured.
Assist in preparing reports, presentations, and other business materials.
Meeting Coordination:
Prepare meeting agendas, take minutes, and distribute materials before and after meetings.
Ensure follow-ups and action items from meetings are tracked and completed.
Manage virtual and in-person meetings, ensuring smooth execution.
Expense Management:
Track and manage executive expenses, reimbursements, and budget-related tasks.
Ensure timely submission of financial reports and expense documentation.
Assist in maintaining financial records and processing payments related to executive functions.
Liaison Role:
Act as a bridge between executives and employees, clients, and business partners.
Ensure clear and effective communication between different departments.
Represent the executive professionally in interactions with key stakeholders.
Project Support:
Assist in managing and executing special projects and initiatives.
Conduct research and provide insights to aid decision-making.
Coordinate with various teams to ensure smooth project execution and timely completion.
Qualifications & Requirements
Bachelor’s degree in Business Administration, Management, Communications, or a related field.
Minimum of 3 years of experience as an Executive Assistant, Personal Assistant, or similar role.
Excellent organizational and time management skills.
Strong verbal and written communication abilities.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management tools.
Ability to handle confidential and sensitive information with discretion.
Strong problem-solving and critical-thinking skills.
Ability to work independently, anticipate needs, and take initiative.
Experience in coordinating high-level business operations and projects is an advantage.
