Purpose of Job
The Senior Administration Officer will oversee the administrative operations of Africa CDC, ensuring efficient and effective support for various programs and initiatives. This role requires strong leadership, organizational skills, and the ability to manage multiple administrative functions.
Main Functions
Provide technical support and guidance in the management of various administration and facilities management activities across the organization.
Oversee the general administrative operations of the Africa CDC, ensuring efficiency and effectiveness in support of the organization's objectives.
Maintain organized records and documentation regarding administrative processes, and compliance
Support the preparation and management of work plans and budgets for administrative functions, ensuring alignment with organizational goals and financial compliance.
Ensure proper financial management and reporting of administrative expenditures.
Specific Responsibilities
Contribute to the development, implementation and review of policies and procedures related to facilities management and administration.
Ensure compliance of Africa CDC’s administrative processes with relevant laws, regulations, and organizational standards, including AU’s legal frameworks and guidelines.
Collaborate closely with HRM to ensure that any corrective measures regarding occupational safety and health administration (OSHA) issues and ensure compliance with Labor Management Procedures related to administration.
Carry out day-to-day administrative operations of the organization, ensuring that all administrative tasks are performed efficiently and effectively.
Assist in the preparation and monitoring of the administrative budget, ensuring that expenditure is within budgetary limits and properly documented.
Coordinate administrative and logistical support for meetings, conferences, and other events hosted or organized by Africa CDC.
Manage and coordinate office services, ensuring that the working environment is safe, efficient, and conducive to productivity. This includes overseeing maintenance, safety protocols, and space management
Provide leadership and guidance to junior administrative staff including administrative assistants, fostering a productive team environment.
Identify opportunities for process improvements within the administration and facilities management areas, proposing and implementing solutions to enhance efficiency and effectiveness.
Liaise with internal and external stakeholders, including service providers, and partners, to facilitate smooth operations and service delivery.
Collaborate with HR to support recruitment, onboarding, and training initiatives for administrative staff and other staff.
Develop, review and implement maintenance plans to manage office spaces and environment in all Africa CDC premises
Prepare regular reports on administrative operations and propose improvements to enhance service delivery and operational efficiency.
Coordinate training and capacity-building activities for staff in administrative-related areas.
Academic Requirements and Relevant Experience
Master’s Degree in Business Administration, Public Administration, Management, Project Management or related fields with 7 years of progressively responsible experience out of which 3 years are at a supervisory level in a similar international organization, public institutions or private sector
Bachelor’s Degree in Business Administration, Public Administration, Management, Project Management or related fields with 10 years of progressively responsible experience out of which 3 years are at a supervisory level in a similar international organization.
Experience working in an international organization, NGO, or similar setting is highly desirable
Required Skills:

Proficiency in Microsoft Office Suite and familiarity with office management software.

Ability to assist in developing clear program goals, plans and actions that are consistent with agreed strategies and to appropriately delegate, monitor and adjust these plans and actions
Ability to produce clear and professional reports
Proficiency in one of the AU officials working languages (Arabic, English, French, Kiswahili, Portuguese and Spanish) and fluency in another AU language(s) is an added advantage.
Remuneration
The salary attached to the position is an annual lump-sum of US$ 96,921.34 (P3 Step 5) inclusive of all allowances for internationally recruited staff, and US$ 78,461.08 inclusive of all allowances for locally recruited staff of the African Union.
