Job Title: Personal Assistant (PA), Online Operations and Clinic Coordination
Location: Lagos
Report to: Operations Manager
Job Summary
To provide comprehensive administrative support for the smooth running of the aesthetic clinics’ online operations across multiple locations, including managing communication channels, appointment scheduling, liaising with staff, and ensuring seamless coordination between clients and the clinics.
Key Responsibilities
Communication Management:
Respond promptly and professionally to all incoming phone calls, emails, and social media DMs/messages from clients, prospects, and partners.
Manage and screen inquiries, providing accurate information about services, prices, and booking procedures. Maintain a friendly and professional tone in all client interactions.
Appointment & Scheduling Coordination:
Take and confirm client appointments via phone, email, or social media platforms.
Organize and update clinic diaries and schedules for all locations.
Coordinate with clinic staff and practitioners to ensure availability and smooth flow of appointments.
Send reminders to clients prior to appointments and follow up post-treatment if needed.
Liaison & Coordination:
Act as a point of contact between clients, staff, and management.
Liaise with clinic staff across Lagos and London to ensure appointments and client requests are managed efficiently.
Communicate any client feedback, special requests, or issues to the relevant team members.
Social media & Online Presence:
Monitor social media platforms for client inquiries, reviews, and feedback. Assist in managing social media calendar and content reminders if required.
Report on client engagement and common inquiries to help improve online communication strategies.
Data & Record Keeping:
Maintain accurate records of client appointments, contact details, and interactions. Assist in compiling reports on appointments, client feedback, and inquiries for review.
Administrative Support: Assist with basic administrative tasks such as generating appointment lists, updating client information, and preparing documentation.
Organize clinic diaries, schedules, and meetings as needed.
Help coordinate logistics for any clinic promotions, events, or campaigns.
Requirements
Proven experience in administrative roles, preferably in healthcare, beauty, or wellness sectors.
Excellent communication skills (verbal and written).
Strong organizational skills with attention to detail.
Proficiency in social media platforms, messaging apps, and basic office software (e.g., Excel, Google Sheets, CRM tools).
Ability to multitask and prioritize effectively.
Friendly, professional, and customer-oriented attitude.
Discretion and confidentiality in handling sensitive client information.
Flexibility to work across different time zones (Lagos and London).
Willingness to adapt to changing schedules and priorities.
Experience in aesthetics, skincare, or medical clinics is a plus, but not mandatory.
What We Offer
