Job Title: Finance and Administrative Officer (FAO)
This is a six-month renewable contract position based in Lagos, Nigeria supporting all grants, contracts, finance, and administrative workflow for the Africa department.
The Finance and Admin Officer will be responsible for operational finance, accounting, budgeting, grants, finance and contract compliance for all Client's Africa programs as assigned including for the country office administering accounting policies to meet legal requirements.
The FAO should be familiar with audits, invoices, and budget preparations.
The ideal candidate demonstrates interest in managing accounting activities, including bank relations, bank reconciliations, accounts payable and accounts receivable, and data entry and management using ERP & financial management software such as Jamis, Quickbooks.
The FAO should also have excellent organizational skills and be able to handle time-sensitive tasks.
Ultimately, he/she will be responsible of the day-to-day management of our financial transactions and operational procedures.
Job Description
Manage financial transactions.
Manage office and budget administration.
Keep accurate records for all daily transactions.
Prepare tracking sheets for budget spendings and operation costs.
Maintain strong financial records in compliance with relevant grants, contracts, and Client policies and procedures.
Process all payments via Cheques, Direct transfer, or cash.
Update internal systems with financial data.
Manage procurement processes and maintain procurement records.
Verify invoices and purchase orders, ensuring that proper coding, signature authority and adherence to applicable regulations and financial control systems are in place.
Follow up with bank related tasks and keeps a strong relationship with all Client banks.
Participate in financial audits.
Review and implement financial policies.
Manage program budgeting process, cash flow projections, burn rates and forecasts.
Process invoices, liaise with vendor, partners, and clients to resolve discrepancies in a timely manner.
Prepare financial reports, file financial reports, including monthly reconciliations, petty cash reconciliation, and support financial audits.
Prepare and manage regional payroll.
Manage and pay operational bills as needed (tax obligations, utility payments, etc.).
Assist with monthly and year end tasks.
Assist with filed office and projects audit as required.
Assist the regional office in the overall administrative task of the regional office and other special tasks.
Support overall client HQ financial systems.
Adhere to appropriate client and donor policies and procedures.
Qualifications
B.Sc Degree or HND in Finance, Accounting or related fields.
3 - 5 years of experience in a financial department as a finance officer.
1-2 years of experience in an NGO or consulting firm would be preferred.
Solid knowledge of financial and accounting procedures.
Experience using financial softwares.
Excellent analytical and numerical skills.
Strong ethics, with an ability to manage confidential data.
Excellent ability to speak, write & communicate in English.
