The Admin and Facility Manager is responsible for overseeing all administrative operations and ensuring that the company’s facilities across all branches are functional, safe, and efficiently maintained.
This role requires a hands-on, proactive individual who can coordinate day-to-day administrative tasks, manage vendors, respond swiftly to maintenance issues, and ensure that all physical infrastructure supports smooth business operations.
Responsibilities
Supervise and manage the overall administrative activities across all branches, ensuring seamless day-to-day operations.
Oversee the maintenance, repair, and servicing of all office equipment, furniture, electrical fittings, plumbing systems, and other company property.
Conduct regular facility inspections across branches to identify and address maintenance needs or safety issues.
Ensure all utilities (power, internet, water, HVAC, etc.) are functional and reliable at all times.
Coordinate with reliable vendors and service providers for facility-related services — including repairs, installations, office supplies, and equipment procurement.
Maintain an updated inventory of office supplies, equipment, and assets across branches, ensuring proper tracking, use, and replenishment.
Plan and supervise office relocations, renovations, or refurbishments as needed.
Enforce health, safety, and environmental (HSE) compliance across all locations and ensure all facilities meet legal requirements.
Manage security, cleaning, and logistics staff to maintain order, cleanliness, and safety at all times.
Prepare and manage the administration and facilities budget, ensuring cost-effective solutions.
Handle all administrative documentation, maintenance logs, and vendor contracts with accuracy and timeliness.
Support internal teams by ensuring conducive work environments and resolving office-related issues promptly.
Provide reports and updates to management regarding facility conditions, issues resolved, and ongoing needs.
Requirements
Bachelor’s degree in Business Administration, Facility Management, Estate Management, Engineering, or a related field.
Minimum of 5 years proven experience in administration and facility management.
Strong technical knowledge of building systems, equipment, and facility repairs.
Excellent organizational, problem-solving, and multitasking skills.
Strong vendor management, negotiation, and budgeting abilities.
Proficiency in Microsoft Office Suite and facility management systems.
Must be proactive, hands-on, and willing to travel across branches when necessary.
Good communication and interpersonal skills, with the ability to lead support staff effectively.
High level of integrity and attention to detail.
Salary
N250,000 - N350,000 Monthly.
