We are recruiting to fill the position below:

Job Title: Secretary to the Country Manager, COBF

Position Number: 50064591
Location: Ouagadougou, Burkina Faso
Position Grade: GS6

Key Function
Under the Supervision of the Country Manager, the secretary to the country manager will perform the following: 

  • Manage the Country Manager’s agenda in collaboration with him/her
  • Make necessary arrangements for welcoming high-level visitors and answering their questions with tact and discretion.
  • Prepare briefing documents required by the Country Manager for his various meetings and official trips.
  • Ensure the quality of documents requiring the approval and/or signature of the Country Manager with necessary attachments and background documents.
  • Ensure all correspondence (internal & external) is transmitted to the parties concerned, in a timely manner and follow up as required
  • Organize the Country Manager's meetings with the host country authorities and the other Bank’s stakeholders; coordinate official receptions organized by the Bank;
  • Draft and finalize correspondence in a range of areas on behalf of the Country Manager and prepare meeting minutes;
  • Organize Country Office meetings and events by coordinating all logistical arrangements (meeting rooms, meeting files, video/audio conference equipment, etc.) in collaboration with the administrative et IT teams.
  • Support the Finance and Administrative Officer to ensure the smooth running of the office.
  • Perform other duties as required.

Competencies(skills, experience and knowledge)

  • Hold a minimum of a Bachelor's degree in business administration, commerce, administration, or a related field, supplemented by training in secretarial functions/administration/office management.
  • Have a minimum of four (4) years of relevant experience in progressive positions, attached to an executive’s office, preferably in an international organization;
  • The ability to provide direct analytical support in the unit’s services such as administrative processing;
  • The capacity to assimilate the work unit objectives, and services to clients;
  • Be able to work under pressure and to prioritize in the dynamic setting of an international and multicultural setting.
  • Ability to handle speedily and efficiently internal and external requests.
  • Ability to manage simultaneous and shifting demands, priorities and tight deadlines.
  • Proficiency in the use of standard equipment (computer, fax, scanner, photocopies etc.)
  • Demonstrable commitment to delivering excellent customer service focused reception and administration services.
  • Be able to multitask, excellent problem-solving skills and attention to detail.
  • Effective communication; highly client oriented, good teamwork and relations.
  • Ability to work and cooperate with others from diverse backgrounds and therefore operate effectively in a multicultural organization.
  • Integrity and confidentiality.
  • Proficiency in written and verbal communication in French or English, with a good working knowledge of the other.
  • Competence in the use of Bank standard software (Outlook, Word, Excel, Access, and PowerPoint). Knowledge of SAP would be an asset.
