Role Summary
The Executive Assistant will provide comprehensive administrative and strategic support to the CEO, serving as a critical right-hand partner in managing internal operations, key stakeholder communications, and external engagements.
The ideal candidate must be emotionally intelligent, tech-savvy, highly articulate, and capable of representing the CEO in high-level meetings, managing vendor relationships, preparing reports, and engaging with clients and partners in the healthcare sector.
Represent the CEO in internal and external meetings with healthcare partners, vendors, stakeholders, and regulators when required.
Coordinate the CEO’s calendar, appointments, and travel schedule, ensuring strategic alignment with business goals.
Prepare board-level reports, presentations, business reviews, and briefing documents.
Track deliverables from leadership meetings and support the CEO in ensuring timely follow-through.
Draft official correspondences, proposals, strategic documents, and speeches on behalf of the CEO.
Operations & Business Coordination:
Interface with key departments (design, production, sales, logistics) to ensure smooth flow of operations and timely reporting to the CEO.
Liaise with heads of department to monitor project progress, workflow, and operational effectiveness.
Maintain a strong overview of ongoing laboratory or clinical partnerships, equipment procurement, and expansion projects.
Ensure regulatory and compliance documentation required by the CEO is up to date and submitted on time.
Organize strategic planning meetings, medical summits, and corporate events as directed by the CEO.
Client & Relationship Management:
Support the CEO in managing and building relationships with hospital clients, medical consultants, corporate partners, and public health bodies.
Prepare briefing materials and conduct background research ahead of client or partner meetings.
Attend client meetings as a company representative, ensuring a professional and responsive presence.
Supplier & Vendor Engagement:
Interface with medical equipment suppliers, service vendors, and consultants on behalf of the CEO.
Negotiate service contracts, request quotations, track delivery schedules, and monitor service quality.
Maintain a supplier database and support the procurement process as needed.
Communication & Brand Representation:
Serve as a communication bridge between the CEO and internal/external stakeholders, ensuring timely, professional interactions.
Maintain accurate digital and physical records, filing systems, and confidential documents.
Support in the preparation of internal newsletters, updates, and corporate communications.
Qualifications
Bachelor’s Degree in Business Administration, Health Management, Sciences, or a related field.
Minimum of 2 - 3 years’ experience supporting C-level executives, preferably in healthcare, diagnostics, or medical technology sectors.
Prior experience in a client-facing, operations, or administrative management role is an advantage.
Must be female, aged 25–30 years.
Knowledge of the healthcare industry, compliance expectations, and medical operations is a strong asset.

Tech-savvy: comfortable with calendar management tools (Calendly, Monday.com, etc), collaboration tools e.g. Google Workspace, MS Office, project tools (e.g., Notion, Jira, Trello, or Asana), Zoom, and productivity apps.
Self-driven, proactive, and capable of making independent decisions.
Poised, presentable, and comfortable engaging medical professionals and executives.
Work Environment & Expectations:
Hybrid work system.
May occasionally work evenings or weekends due to work requirements.
Availability to travel (within Lagos or nationally) for industry events or stakeholder engagements.
Benefits
Competitive salary: N200,000 - N250,000 / Month.
