We are recruiting to fill the position below:

Job Title: Finance and Admin Volunteer

Location: Borno
Employment Type: Volunteer

Role in the Organization

  • The Finance and Admin Assistant(Volunteer) will work under the supervision of the Executive Director, supporting with personnel management, Financial Management, and administration-related tasks.

Main Responsibilities (Finance)
Objective 1: Finance and Accounting:

  • Maintain an up-to-date cashbook record for all payments, both cash and bank transfers.
  • Maintain up-to-date tax remittance for all payments.
  • Maintain the Petty cash book record monthly.
  • Process and manage all advanced requests.
  • Prepare a monthly bank reconciliation Statement, count.
  • (validation form, etc.).
  • Review all the payment documents for proper coding and supporting documents are complete before any payment.
  • Archiving of the accounting/HR documents at the field office.

Objective 2: Update & Record HR Data & Files Activities:

  • With the guidance of the ED, He/she will maintain up-to-date and accurate personnel files in soft and hard copy, prepare job announcements/job descriptions, file documents in personnel files, conduct interviews, recruit staff, and facilitate new employee orientations and training.
  • Support with the Collection of all appropriate documents from new hires: CV, signed contract, signed job description, contact information, code of conduct, conflict of interest statement, PSEA Policy, etc.
  • Lead the preparation of job contracts under the supervision of ED.
  • Ensuring that all staff have the Identity Cards.
  • Updating and Filling HR Files & databases.
  • Support with exit clearance paperwork for outgoing staff and respond to all reference checks.
  • Post job ads and organize resumes and job applications.
  • Compilation of HR report.

Objective 3: Coordination & Communication Activities:

  • Provide local staff with information about their terms of employment, and leave, as well as other relevant information.
  • Assisting with employee relations matters as needed.
  • Assisting in the translation of memos, staff questions, and official meetings.
  • Ensure participation in coordination meetings of HR and Finance, if any.
  • Communicate all matters related to employees to ED to maintain office decorum.

Qualifications & Preferred Skills

  • Education: Bachelor's Degree or equivalent Degree in Human Resource Management, Accounting, Finance, Business Administration, or any other relevant field from a recognized university.
  • Experience: Minimum of 1 year of relevant work experience in an NGO with expertise in Finance and HR.
  • Languages: Fluency in English and Hausa.
