About the Role
The Operations/Executive Assistant will be the CEO’s right-hand partner, ensuring her time, energy, and resources are optimised for both strategic goals and day-to-day operations.
This is a high-impact, fast-paced role that blends executive support, operational coordination, and client services oversight.

Manage the CEO’s calendar, appointments, and reminders to ensure optimal time management.
Organise and prepare for meetings, including creating agendas, collating documents, and taking accurate notes.
Draft, proofread, and respond to emails on behalf of the CEO when required.
Coordinate travel arrangements, events, and speaking engagements.
Maintain and prioritise the CEO’s personal and professional task lists.
Act as a strategic thought partner by flagging priority actions and potential time conflicts.
Handle confidential and sensitive information with the highest discretion.
Track project deadlines, ensuring timelines are met and deliverables achieved.
Maintain and update Standard Operating Procedures (SOPs), templates, and company documents.
Coordinate team meetings and follow up on action items.
Support recruitment, onboarding, and offboarding processes for staff and contractors.
Assist with vendor and partner coordination as necessary.
Client Services & Marketing Support:
Monitor and track client onboarding progress to ensure smooth service delivery.
Follow up on pending client documentation and deadlines.
Prepare and send templated client communications and case updates.
Organise case files and ensure documentation is updated for internal review.
Manage the CEO’s content pipeline for newsletters, podcast appearances, and webinars.
Collaborate with the Sales & Marketing team to schedule social media content and email campaigns.
Track client inquiries, sales leads, and coordinate strategy call scheduling.
Prepare internal reports on client engagement and conversion activities.
Who We’re Looking For
Experience: At least 3 years of experience as an Executive Assistant, Operations Coordinator, or similar role, preferably supporting a senior executive or business owner.
Skills:
Excellent organisational and time management skills.
Strong written and verbal communication abilities.
Proficiency with productivity and project management tools (e.g., Google Workspace, Trello, Asana, Slack).
Basic understanding of digital marketing tools (social media schedulers, email campaign platforms).
Qualities:
Highly proactive and resourceful problem solver.
Detail-oriented with the ability to manage multiple priorities.
Comfortable working in a fully remote, fast-paced environment.
