Talent Lab Limited - Our client is Nigeria’s leading provider of relief products and solutions, serving both local and international organizations operating in rural development, emergency response, and crisis management. The Admin & Procurement Assistant will provide both administrative and procurement support to the organization, with added responsibility for assisting in bid preparation and submission.
This role will help manage procurement processes, vendor relationships, and documentation, while also contributing to the development of competitive and compliant bid proposals.
Job Responsibilities
Procurement Support:
Assist in sourcing and evaluating suppliers for goods and services.
Prepare and send purchase orders to vendors and follow up to ensure timely delivery.
Support vendor relationship management and maintain an updated supplier database.
Assist in comparing quotes and preparing evaluation summaries for review.
Administrative Support:
Maintain accurate and organized records of procurement activities, contracts, and correspondence.
Schedule meetings, prepare agendas, and take meeting notes.
Handle document filing, data entry, and routine correspondence.
Support logistics coordination for procurement and operational activities.
Bid Preparation & Submission:
Support the development of bid responses, ensuring compliance with client specifications and requirements.
Assist in preparing persuasive and well-structured proposals highlighting the company’s strengths and solutions.
Coordinate with internal teams to gather necessary information for bid responses.
Review bid documents to ensure compliance with legal, financial, and technical terms before submission.
Track deadlines and ensure timely submission of bids.
Documentation & Compliance:
Ensure procurement and bid processes comply with company policies and client requirements.
Assist in preparing procurement and bid status reports for management.
Maintain a repository of bid templates and supporting materials for future use.
Cross-Functional Coordination:
Collaborate with finance to process invoices and ensure timely supplier payments.
Liaise with internal teams to confirm specifications and requirements for procurement and bids.
Qualifications / Requirements
Bachelor’s Degree in Business Administration, Supply Chain Management, or a related field (or equivalent experience).
1 - 2 years of experience in administrative, procurement, or bid support roles.
Strong organizational and time-management skills.
Good written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
High attention to detail and ability to meet deadlines.
Knowledge of procurement processes and basic tendering/bid submission procedures is an advantage.
