Job Title: Logistics Officer (Asset) - NW & NE
Location: Nigeria
Job Summary
LOs manage the organization's assets, including storing, repairing, and retrieving or issuing devices to staff members.
LOs also distribute items and field supplies to clinics.
Position Responsibilities
Field Supplies Management and Distribution:
Develop opportunities to engage religious and community leaders in order to create goodwill for the study and intervention of ABAE
Upload all procured field supplies into the distribution app, ensuring accurate quantities are captured as per the purchase order.
Distribute field supplies to all Local Government Areas (LGAs) and clinics within the state, ensuring timely and efficient delivery.
Maintain proper storage conditions to ensure the safety and quality of all field supplies.
Establish minimum stock levels and promptly record field items and supplies to prevent shortages.
Coordinate with the Field Operations Support to ensure that logistical needs are met promptly and efficiently.
Ensure all Purchase Orders (POs) are signed based on quantities delivered by the vendor and uploaded via the distribution app.
Ensure the completion of field supplies upon arrival in the driver's presence, with accountability for missing items if not verified.
Complete the weekly stock reporting form.
Provide other logistic support in identifying and negotiating with vendors.
Quality Assurance:
Increase awareness of SERICC and promote the NI / ABAE Initiative in SERICC
Verify the quality of procured field supplies upon receipt and return any items in poor condition to vendors.
Conduct regular spot checks to confirm that distributed field supplies reach their intended end users.
Ensure that any staff member who fails to confirm distributions within one week via the distribution app is notified, and the items are automatically confirmed to maintain accountability.
ORS sachets – Logistic officers should ensure to keep the following conditions:
Verify Expiry Dates At The Point of Procurement: Before receiving ORS packets, ensure that they have an adequate shelf life. Any item with a shelf life below one year should be rejected.
Complete Quality Assessment checks of ORS within 48 hours of procurement.
Monitor Expiry Dates: Track expiry dates systematically and prioritize the use of products with earlier expiry dates.
Implement First-In First-Out: Organize the storage of ORS so that the earliest received stock is used first. This helps prevent expired products and ensures that stock is appropriately rotated.
Maintain Proper Storage: Store ORS in a cool, dry place as specified by the manufacturer.
Avoid exposure to extreme temperatures or humidity, affecting the product’s quality.
Logistical Support and Response:
Respond to logistical challenges or emergencies, such as delays in supply delivery or emergency requests for field materials.
Coordinate with line managers and the HR Officer of the state to retrieve devices, other assets, and distributed items from outgoing staff members.
Collect old devices from active staff members who have received new ones
Asset Storage:
LOs must have a secure location to store ORS and other consignments, which should be randomly accessible to Auditing.
The organization should be able to access the address of the secure location at any given time.
Storage spaces selected by LOs must not have a history of crime, including burglary, robbery, home invasion, and theft. The space must also be safe from other concerns like flooding, roof leakages, sanitary and fire.
The security team must assess and clear the storage space. If the location changes, LOs must notify the security team in advance so they can assess the new location.
Key Requirements
Education and Work Experience:
Minimum of a Diploma, preferably in Social Science, Business Administration, Procurement, or Supply Chain Management
Experience in asset management is an advantage
Professional qualifications in the NGO sector will be advantageous
Minimum of 2 years relevant experience (preferably in an NGO).
Skills and Competencies:
Nigerian nationals already based in the states are targeted for this position.
Fluency in local languages/dialects, especially Hausa
Must be a Nigerian national based in all 11 states where we operate.
Excellent organizational and time-management skills.
Attention to detail and ability to work under pressure.
Understanding of relevant policies and procedures.
Experience in collecting and distributing items
Careful attention to figures and record keeping
Detail-oriented, diligent professional
Excellent communication and writing skills, English, Hausa, and the predominant local dialects of the job area (verbal and written)
Excellent responsiveness to email and phone requests
Proficiency in Microsoft Word/Excel, internet browsers, smartphones and new communications technology in general

Language Requirement:
Proficiency in the English Language (conversation, reading, and writing) is required
