The Appointment Setter is responsible for contacting potential and existing clients to schedule meetings or sales appointments for the sales team.
This role involves managing calls, emails, and other communication channels to generate qualified leads and ensure the sales pipeline remains active.
An appointment setter should be persuasive, well-spoken, and able to handle objections with professionalism.
Key Responsibilities
Outbound and Inbound Communication: Engage with potential and existing clients via phone, email, and other channels to schedule appointments.
Lead Qualification: Assess and qualify leads to ensure they meet the criteria for potential sales.
Schedule Appointments: Coordinate and schedule meetings or sales calls between prospects and the sales team.
Record Keeping: Maintain accurate records of interactions, appointments, and follow-ups in the CRM system.
Follow-Up: Conduct timely follow-ups with leads to nurture relationships and encourage conversions.
Collaboration: Work closely with the sales and marketing teams to ensure alignment and optimize the sales pipeline.
Customer Service: Provide excellent customer service, addressing inquiries and handling objections professionally.
Speed-to-Lead: Ensure quick response times for all inbound inquiries, maintaining auto-acknowledgment within 5 minutes and a human reply within 24 hours.
Proposal Preparation: Assemble and send proposals using templates, coordinating inputs from internal teams, and routing for e-signature.
Deal Support: Address missing information, schedule technical reviews, and clarify next steps in the CRM.
No-Show Management: Rebook missed appointments promptly using established recovery sequences.
Event Conversion: Convert event RSVPs into booked meetings and manage follow-up invitations.
CRM Hygiene: Maintain accurate lead tagging, segmentation, and pipeline status to ensure no leads are left unaddressed.
Required Skills and Qualifications
Bachelor's Degree in Business Administration, Marketing, Communications, or a related field.
Certifications in Sales, Marketing, or CRM systems (e.g., Salesforce Certified, HubSpot Academy certifications) are highly desirable.
Excellent in spoken and written English with a confident phone presence.
Proven experience in appointment setting or sales development roles, particularly in a B2B context.
Proficiency with CRM software and proposal assembly from templates.
Excellent organizational skills and the ability to manage multiple inputs and tasks simultaneously.
Reliable internet connection, a quiet working environment, and quality communication equipment.
Preferred Qualifications:
Experience in the dental or healthcare industry.
Familiarity with FunnelKit/WordPress, Eventin/BuddyBoss, and digital marketing tools.
Basic skills in GA4 (Google Analytics 4) and Dubb for video updates.
Experience with LinkedIn outreach and light copywriting for follow-up messages.
