We are recruiting to fill the position below:

Job Title: Personal Assistant to the Managing Partner

Location: Lagos
Contract Type: Permanent

Job Summary

  • The Personal Assistant (PA) to the Managing Partner provides high-level administrative, organisational, and executive support to enable the Managing Partner to function effectively in their leadership role.
  • The PA ensures seamless coordination of the Managing Partner’s activities, manages confidential information with discretion, and serves as the primary point of contact between the Managing Partner and internal/external stakeholders.
  • The role requires strong business acumen, excellent communication, and exceptional organisational skills to anticipate needs and ensure the Managing Partner’s time and priorities are optimally managed.

Key Responsibilities
Executive & Administrative Support:

  • Provide comprehensive support to the Managing Partner in managing schedules, meetings, communications, and travel arrangements.
  • Draft, review, and manage correspondence, reports, presentations, and other high-level documents on behalf of the Managing Partner.
  • Coordinate Board/partner meetings, prepare agendas, take minutes, and ensure timely follow-up on action items.
  • Maintain strict confidentiality of sensitive information and ensure professional handling of all matters.

Stakeholder Management:

  • Act as the first point of contact for the Managing Partner with internal and external stakeholders.
  • Manage client and partner interactions with tact, professionalism, and discretion.
  • Facilitate smooth communication between the Managing Partner, Board Members, Partners, Practice Administrators, and staff.

Strategic & Operational Support:

  • Assist the Managing Partner in monitoring progress on strategic initiatives, projects, and firmwide priorities.
  • Support the preparation and coordination of presentations, reports, and documents for Board, client, and industry engagements.
  • Conduct research and provide briefing notes to support decision-making.

Office & Workflow Management:

  • Ensure efficient management of the Managing Partner’s office, including prioritising tasks and managing competing demands.
  • Implement effective filing, information management, and record-keeping systems.
  • Liaise with Practice Administrators, Operations, and other departments to ensure smooth workflow.

Fulfilling Other Responsibilities as Delegated or Assigned:

  • Additional duties and responsibilities may be assigned as needed to meet the evolving needs of the Firm.

Requirements
Educational Qualification:

  • LLB, BL. Bachelor's Degree in Legal Studies, Business Administration, or a related field.
  • Certification in Legal Administration or Paralegal Studies is advantageous.

Skills / Knowledge Requirements:

  • Minimum of 5 years of relevant experience in a similar role.
  • Basic understanding of litigation procedures, court rules, and legal documentation.
  • Bookkeeping and basic accounting knowledge
  • Strong organizational and administrative skills to manage litigation files, schedules, and client communication.
  • Excellent written and verbal communication skills for effective interaction with clients and legal professionals.
  • Familiarity with legal software, court docketing systems, and Microsoft Office suite.
  • Meticulous attention to detail in managing legal documents, court filings, and case deadlines.
  • Client-focused mindset with the ability to provide exceptional service and support.
  • Ability to work collaboratively with legal professionals and other administrative staff.
  • Ability to adapt to changing priorities, deadlines, and litigation requirements.
