We are recruiting to fill the position below:

Job Title: Personal Assistant to the MD

Location: Lagos

Job Overview

  • As a Personal Assistant (PA) to the Managing Director, you will provide high-level administrative, organizational, and personal support to ensure the seamless operation of the Director’s office and daily activities.
  • Your role demands excellent time management, discretion, and attention to detail, along with the ability to manage a diverse range of tasks such as professional correspondence, scheduling, travel coordination, and running personal or business-related errands.

Job Responsibilities
Executive Support:

  • Manage the Managing Director’s calendar, appointments, and meetings.
  • Organize and prepare materials for meetings, presentations, and reports.
  • Draft, review, and manage correspondence (emails, letters, memos, reports, presentations, speeches) on behalf of the Managing Director.
  • Prepare meeting agendas, take minutes, and follow up on action items.
  • Handle confidential information with discretion and professionalism.
  • Monitor deadlines, ensuring that the MD is prepared for upcoming commitments.
  • Represent the Managing Directors office in meetings, as directed.
  • Liaise with internal staff, and external stakeholders on behalf of the Managing Director.

Administrative & Office Support:

  • Maintain filing systems (electronic and physical) for easy access to documents.
  • Monitor and prioritize incoming communications, flagging urgent issues.
  • Arrange domestic and international travel, including flights, visas, accommodation, and logistics.
  • Track expenses, process reimbursements, and handle petty cash as needed.

Errands & Personal Assistance:

  • Run personal and business-related errands as required by the Managing Director, while maintaining confidentiality. This may include, banking services, courier services, purchases, event planning, reservations and any other personal errand as directed by the Managing Director.
  • Support the Managing Director with personal scheduling, household management, or other non-business tasks when necessary.
  • Ensure errands are completed efficiently and within given timelines.

Event & Project Support:

  • Assist in planning and coordinating company and the Managing Director’s personal events, off-site meetings, and retreats.
  • Provide logistical support for meetings, social outings, conferences, and special projects.
  • Coordinate with vendors, suppliers, and service providers as needed.
  • Track progress of special assignments and provide regular status updates and reports.

Requirements
What We’re Looking For:

  • Candidates should possess an OND/HND/BSc in relevant field with 3-5 years experience as a Personal Assistant
  • Excellent communication, interpersonal, and organizational skills.
  • Proficiency in MS Office Suite and familiarity with office equipment.
  • Professional appearance and a courteous, confident demeanour.
